Automated emails

I would like the ability to send an automated email to a sheet assignee at a certain time with attachments linked on that line in the smartsheet.  preferrably I would like to be able to create a user group instead of a single assignee so that the email can be sent to multiple people but at this time it cannot be automated to be sent to anyone assigned.   This would likely require an alert that is setup to automatically run at a certain time.  In the existing functionality the alert can only say minimal information and does not include attachments.  Nor do single line alerts copy as we start new projects so we have to add this in and update the comments each time.   With hundreds and hundreds of rows in each project it's not worth the effort at this time.

  • Hi Julie,

Our Product team is interested in functionality that allows people to assign multiple people to a task. When you have a moment, please submit an enhancement request (using the form under Quick links on the right of the community site) to let our Product team know that you'd like to have attachments included in alerts, and a group assignment feature.

As it stands, alerts will ONLY send attachments if the attachments column itself is the trigger for that rule. (E.g. "Send email when anything changes in the Attachments column.)

I thought this might help you!

Yes, assigning multiple people to a task is now available.

    Hi all,

We're pleased to announce that you can now quickly & easily assign tasks to multiple people. To do so, check the new "Allow multiple contacts per cell" checkbox in any contact column. The cells in that column will then allow up to 20 people to be added.

You can still leave that option unchecked when you only want a single person to be assigned to a task at a time.

Adding multiple contacts to a cell is useful not only for assigning people, but also for other scenarios where you want to associate multiple stakeholders with a row. For example, you might want those people to receive notifications when the row changes, or you may want them to appear in reports and filters.

For some projects, you may want to add 2 contact columns: one for the primary owner, and another for additional team members.

We welcome you to try it out and let us know what you think.

This works to auto send emails based on a result in a column, even if the person you want to email doesn't have access to smart sheets.
