Avoid Overbooking a Training Facility

Hi,

When creating a project grid for training events, I add a column named "Venue". In this column I provide the name of training facility where the training needs to be conducted.

Hence, I need a way to be alerted when using the same venue more than one time on a specific day. Because, obviously, i cannot run two trainings at the same time in the same venue.

Any ideas?

    Hi Amer,

Can you describe your process in more detail and maybe share the sheet(s) or some screenshots? That would make it easier to help. (share too, andree@getdone.se)

    Have a fantastic week!

    Hi Amer

This is an easy one to resolve, Just allocate each of your training rooms a "fake email address" as two of your unlicensed users list, so they become Resources (physical ones) and so they become trackable and when over booked a little red person pops up.

One other useful idea is when letting your delegates register for events at different venues, you probably need to stop when full. That is pretty easy too.

Organising Training is a very popular use for Smartsheet and we can show you a number of such ideas as part of a free initial consultation if that helps?

Sorry to contradict Andree but I would definitely not share your sheets with anyone until you have an agreement in place for confidentiality. As per advice from the Community manager recently!

    Richard,

Great idea to use the Allocation feature.

Regarding sharing, Obviously, if it's confidential or sensitive information it shouldn't be shared if there isn't an agreement in place or the data isn't deleted or replaced before sharing.

    Kind regards,

    Andrée
