Request or Transfer Workspace Ownership in Smartsheet

Hi Community, 

Great news! As a licensed user, you can now request ownership of a workspace from the current owner, or transfer ownership of a workspace that you own to a new owner.

Now, if someone leaves the organization, or project ownership changes, you can ensure your workspace (and optionally, the items you own within it) is in good hands with a new owner. Workspace ownership can be transferred or requested by users in the same, or different, organizations. 

To get started, just make sure that the new owner is shared to the workspace from the “Workspace Sharing” window. From there, you have two options:

  1. Transfer ownership to a new owner: Select the licensed user you’d like to transfer ownership to, and from the dropdown select “Make Owner”. On the next screen, select if you’d like to transfer items you own within the workspace as well, or just the workspace. A transfer request will be sent to the selected user, and they can choose to deny or accept ownership. If accepted, ownership will be transferred and they will be the new owner. You’ll still be shared to the workspace and retain Admin-level access. If denied, ownership will not be transferred and you will remain the owner. You’ll receive a message saying the transfer could not be completed.
  2. Request ownership from the current owner: Similar to the above scenario, select yourself as the workspace owner, and whether you’d like ownership of the workspace items the current owner owns, or just the workspace. An ownership request will be sent to the current owner via email and in-app notification, and they can choose to deny or accept the request. If accepted, ownership will be transferred to you, and the previous owner will still retain Admin-level access. If denied, ownership will not be transferred and they will remain the owner. 

Workspace ownership transfer is a more collaborative and secure approach to ownership, because it helps ensure that only the correct recipient is responding to requests, and that the new owner is eligible to receive ownership. As an added bonus, you’ll save massive amounts of time not having to tediously drag each item out of a workspace and back again to take ownership, so you can focus on what matters most throughout your workday.
