We are in the same boat. We have been using Smartsheet for over 8 years and have even spent thousands building out our platform. We are/ now were currently looking at moving out entire construction team over to Smartsheet. We have 9 licenses and about 25 other people that just enter dates on certain sheets don’t use any other features. We are being forced into having licenses for everyone.
This is crazy!! Does anyone have any suggestions on other products they maybe switching to? Be currently use Buildertrend and was going to move away from that to Smartsheet totally but now the cost increase opens the door to looking at other products that are more polished and have less things/features that are half done like Smartsheet.
I can’t believe Smartsheet would do this to their core users. So any suggestions for our construction company would be helpful. We are only a small to midsize company not a huge corporation. So it matters where our funds go.

Oh Mark, I feel your pain. There are some great suggestions on this thread for workarounds to this licensing model.
Sadly, I do feel its down to who you have as an account manager. I have seen opposite ends of the scale with our clients. Some account managers (seemingly like yours) who are just not understanding that these changes without planning and budgeting are just not financially viable for some, and others who are bending over backwards and offering amazing transition packages to help clients overcome the obstacles and stay with Smartsheet.
I would really like to talk to you to find out how you use your Smartsheet and what implications there are to the new model for you, then I'll be able to recommend the best options for you. (please note, I do not work for Smartsheet directly and I have no powers of persuasion, but there are ways of softening the blow).

@Andrée Starå Unfortunately dynamic view will not work in this case because stupid Smartsheet has no way to group reports in dynamic view.
This would be easier if there was a say a creator license or seat versus just an editor.. The people we have editing are just entering data in a sheet already created in Smartsheet advance. So we are going to have to add like 25 licenses at approx $1100 a pop. Which is a decent cost for a company our size. But what this does is open up the door for looking at alternatives to Smartsheet for us. If we are paying over $30-40k a year then there are other programs that may suite our needs better for that cost.
I wish Smartsheet had a more balance look at this and had different price points. We would not mind paying a little more for and editor seat but to force everyone in our company to have to go full license and not use any of the features except editing is kinda hard to justify.Also our sales rep was also very aggressive and unprofessional as others have stated on this thread. It must be something Smartsheet is forcing across the board with all reps. Huge culture shift in Smartsheet looking like all they care about is $$ over everything. So sad.

Hi Jon, have you taken a look at our Smarter Dashboard tool at all? It isn't free sadly, but its costs are minimal compared to the raise in licensing that you are being asked to find.
It would allow your users to continue to edit dates without having to pay for editor licenses for them.

This was the information I was looking for… Similar to others, we are going from 10 licenses total, to a license for each of our managers so they can develop/manage schedules, etc. However, the rest of our staff are only using smartsheet for:
- IT tickets - this still works fine, since they can use forms.
- Update % complete and leave comments on task status. - This had been handled by a report.
Can someone verify that under the new subscription model, unlicensed employees ('viewers'?) are able to make updates in dynamic view?

WE hate this new model, I have no idea why they would come up with this. The last thing we want are people with the ability to change the design. We had very controlled builds with only so many superusers that completed the builds. Then granted Edit and Viewer rights as needed.
Now with a Member having edit rights now also can change the design. This is tragic. some nobody changes a column name and 100 bridge flows will ultimately breakdown and fail.
This is a huge impact to us and we have already been thinking about ways to move to other platforms for anything that is sheet and report based.
We are fine with our Workapp and Dynamic View solutions, but I am afraid, with the latest rollback, that they are going to target removing those two features next, in which case we are done.

I can definitely see where WorkApps will be replaced by the Collections functionality, but I wouldn't think Dynamic View would be going anywhere. Could you manage the sheet access rights within Collections?

We like Workapp, where each process is in a workapp with roles, etc. I have not had a chance to look at collections as we are not an enterprise EAP. I am hoping it resembles Workapps. The main reason we picked Smartsheet is Workapps. Everyone loves it.

@Jason Hidek we have the same process as well but I am the ONLY builder on top of managing the entire software program to 500+ people.
One work around i started was creating helper columns with locks that copies the data in other columns, then reports are built off those helpers to eliminate column changes by users who refuse to listen to us. Its not an ideal setup, but its the ONLY way i can prevent hundreds of reports from being damaged hours before they are automated to 500 people. I just check a few to make sure and i know the others will be fine as they are created off those helpers and the primary (which neither can be altered). You could also create a copy of the sheet, put automations to copy new rows when added to your sheet and build reports off those instead in a LOCKED Workspace. Then just publish them as views. its just another option i had to doBut i do agree, this stupid model system has caused more work for me as well as new enemies within my company after i had to get more strict with their rights. But that is the cost of overseeing such a monster. For me, this is just business and nothing personal towards staff. I have to protect the companies data, its Architecture, as well as its Security, which all requires thick skin and a bit of an attitude (again doing it by myself), so if losing a few co-worker friends prevents all the above, then so be it, one day they will/should grow up and hopefully will understand why i did what i did.
Hang in there, your not alone, as we are all having to deal with this non-sense. So look at this as a support group to vent / complain as well as help eachother out.. I have to assume they will destroy more of this program, so we need to help eachother on ways to get creative and stay on top of it. Doing all this is a skill most will not possess, so soak it all up and become a badass!! 😁

@Genevieve P. We just talked to our account rep again today - same basic tactics - he is just interested in upgrading us and not helping us decipher whether Viewer access for some of our employees is necessary or not. We have 3 super users who have created everything for out team of about 10 other employees (not including many external users) who only limitedly and infrequently approve or update certain cells in sheets, reports or dashboards. It is not feasible for us to go from a $700/year budget to the proposed $3,200 budget he is talking about. So we will need to change our processes to downgrade our current editors to viewers. He was unable to answer basic questions about access and only wanted to focus on how many licenses users we were increasing to. He said the he was pretty sure Forms would require a paid license for our internal users - I told him I didn't think that was the case and could he find out - he said it's on the website. I came back here to your previous response to me which says "smartsheet Forms and Update Requests do not count as editing the sheet, since the users filling them out do not need to be shared to the sheet to complete those actions." Can you point me to the documentation from Smartsheet that shows that Internal Viewers can still fill out forms and update requests without having a paid license? Thank you!
