Has anyone created a smartsheet to manage contracts?, specifically to perform the below activities:
 
  • track total amount vs. payments
  • track payments against deliverable complete
  • track contract term
  • track contract amendments : to extend the period, increase the budget, adjust terms of reference, etc.
  • Track invoices / payments
  • Get reminders when a deliverable is due or contract is about to expire
  • Route documents for review 
  • In the future maybe the option to route documents for signature ( docusign?)

    Hi Gina,

    We do have an experimental integration with DocuSign available in Smartsheet Labs that enables you to send out documents for signatures and automatically attached back to Smartsheet. MOre information on the DocuSign integration is at https://www.smartsheet.com/apps/docusign

    Our Solution Center includes templates, best practices, and guides to help you get going for various use cases. While we don't have a solution specifically designed for contract management, it's worth looking through a few of those as they can give you some ideas on how to effectively use various Smartsheet features for similar use cases.

    Gina, i am working on the same environment to track all contracts for communications services.  Some things we are looking to track match what you are trying to accomplsh as well.

     

    • invoiced amount vs. paid amount
    • credit due vs credits applied
    • track contract term (Years and months)
    • contract start and end dates
    • track contract amendments : to extend the period, increase the budget, adjust terms of reference, etc.
    • Get reminders to pay monthly invoices or start a new RFP for services
    • I have a few worksheets i put together. Im not sure if all this can be completed in one sheet.  Given different members of the team need access to different areas it may be better to break it into different sheets to share to different people.  I am working on putting together a dashboard with info from all sheets for managment to use as well. I am either going to use Micrsoft BI plug-in or the new smartsheet sights to accomplish.

    Hi Gina & Tom,

     

    I'm looking to do something very similar. Have either of you had any success with creating sheets or templates that fit your needs? I'm working to refine our contract management process by moving it into SmartSheet (we're a small organization and currently use a combo of Google sheets, Drive, etc, and it is not very efficient) , but I have had trouble creating something effective yet. I'd love to hear any updates or successes you may have had!
