Forms- Multiple guests contact informatio

Hello,

We are using a form to RSVP to company events, for these events we have our team members inviting guests. The form is sent out by email to our team members and asks to provide their guest count, then we ask them to add their guest's contact info (name, company, email and phone number).

The problem we have ran into, is that when we receive the RSVP on our sheet, the column with their guest's contact cannot be adjusted to have them in a separate cell. Pretty much the only option they have is type their guest's information/contact on a single row separated by commas.

Is there a form feature that would allow the person receiving the form to add multiple guest's information to be collected in separate cells on the sheet?

Any insight would be sooo apreciated!!!

    Hi Thania,

Yes, there is. You could add separate columns (Guest 1, Guest 2 and so on) and add those fields to the form.

    Would that work?

Can you describe your process in more detail and maybe share the sheet(s) or some screenshots? That would make it easier to help. (share too, andree@getdone.se)

    Hope that helps!

    Have a fantastic week!

  • Hi Andrée, thank you for your reply.

I can use different fields per guest as you recommended and it works well, Thanks!

The form I am creating, is sent to people in my office that have to RSVP to a specific event. These people will be bringing guests to the event and we need to know the guests' information (name, company, email, phone). I wanted to have a field named Guest Information and in that column the member inviting them would add all their contact info. Since it is only one column, the guests' names and information can only be entered separating them by commas and these appear in one single cell. I was wondering if there was a way to separate each guest into their own cell, without having so many fields (Guest 1, 2 etc).

I am not opposed to your solution, it works. I would like the form not be so long and that is why I asked if there was a way to have this work another way.

There is a field form called "Guest Count" as a dropdown menu with values 0-10, is there any way that when they choose a number, let's say 3 guests, only 3 guest information fields appear?

I am probably asking too much from smartsheets (LOL).

    Thank you Again!

    Happy to help!

There are not any conditional rules available with forms so you can't select a number and then get so many fields. There are third-party tools that probably could do what you want.

A possible workaround could be to use two different forms. The main one and then set up that form to show a guest form when submitted and it could be for one guest or multiple. If it's for just one you could set it up to reload on submission and then you could submit the form for each guest and as many times needed.

    Would that work?

    Best,

    Andrée
