Free users can no longer use "send..." on a row

Hi,

has something changed for free users with the send option at a row level? we have a number of admin users but also free users than will fill out details in a row and then click the row dropdown and select the "send..." to send a mail with the details filled out for that rown.

Now when our basic (free) users select this dropdown the "send..." option is greyed out and can no longer send. This has worked for a long time up until now. Has something changed on the free user settings? we have a large number of users that will update these fields and it's the only interaction they have with smartsheet, it wouldn't make sense to upgrade everyone.

    Hi,

Unfortunately, yes. Smartsheet recently made a change that impacts free collaborators and unlicensed users and what they can do.

    Hope that helps!

    Have a fantastic day!

Oh okay, I was hoping it was just a temporary issue.

I think we'll be rolling back to our previous system in this case.

    Hello,

Apologies that this change caught you off guard. Please see my response to Jaye here for more details about the communication and changes to which capabilities require a license.

This hit us off guard as well. We didn't receive communications prior to the changes.

I would recommend implementing another tier of user that has some of these missing functions rather than full license or nothing. Most of our users do not need, and should not have full functionality in Smartsheet.

We have already found work-arounds, but they will be time-consuming (costly) for us to implement, and the user experience isn't as nice.

  • +1 for this

To further elaborate: As administrator of a complex workflow systems I want to make sure, that the interaction with my sheets etc. is limited to necessary features to avoid "playing around" with the tool within my system (do as you like in your personal folder).

Example: Decider needs to be able to e.g. request a row update but nothing else.

With Smartsheet I now have to think about all or nothing and a structure that works for my needs.

Think about the work (or money for licenses) required for existing systems!

Really not well done Smartsheet. You should at least allow a license type with functionality between unlicensed and "standard license", or maybe the option for an admin to define right (active features) an role per workplace!

    Just my 2 cents.

Every paid account has some paid users and some free users. Earlier the free users had access to certain features like update request and this was a USP of Smartsheet Application, as this reduced our running cost. This was one of the reasons why we went in for this application rather than any other similar application available in the market. If today we do a techno commercial comparison between different applications available in the market, similar to smartsheet, we find that after the recent changes in free user permissions smartsheet is no longer one of the most cost effective solutions. Hence a wise potential customer would go for the more economical solution in place of smartsheet. On the other hand the existing customers like us, who do not use advanced features introduced now, are not happy because features or privilege available to our free users earlier have been widthdrawn and we are being asked to pay more money to get them back. I request Smartsheet  to look into the matter and give back the privileges available to the free users attached to paid accounts.
