Hi fellow Smartsheeteers,

I encounter another challenging scenario that some of you have encountered and find a solution to it. Here is the scenario:

I have task as an individual and also have task as a team member. Example of task that involves team are doc reviews with a group of people.  I have numerous scenarios:

1) "Assigned to" column only allow 1 person or 1 team.  Is there a way to assigned to numerous people and teams.

2) If I’m a team member how allocation and resource view function know that I am over allocated.  In my analysis I think I’m overallocated already due to concurrent task.

3) How Smartsheet define teams with numerous members

4) if 2 teams are assigned to a task and I am member on both teams, can Smartsheet handle this issue.

If no functionality exist, please add on next release.  Give me a buzz if it is already available.  I will be happy to try and test it.

5) A team with a sub team scenario how you define members.

For a meantime, a workaround will be great help !!!

Please indicate the scenario your workaround solves

Thanks,

D Micu

  • Hi D Micu,

Currently, there isn't a way to assign multiple people to a task on the same row. As a potential workaround, you might consider putting the same task on multiple rows to assign the task out to people. You can organize the task underneath a parent as well. (More information on parent rows is available here: https://help.smartsheet.com/articles/504734-hierarchy-indenting-outdenting-rows

As for the logistics of how Smartsheet tracks you and other as a resource, you can find details on our resource management functionality here: https://help.smartsheet.com/articles/1346969-resource-management-allocation-team-enterprise-only-

For any feature enhancement requests that you'd like to see in a future version of Smartsheet, you can submit them directly to our Product team with the product enhancement request form under Quick links to the right of the community site.

    Hi,

Yes, assigning multiple people to a task is now available.

Please see the attached link/screenshot for more information.

    Hi all,

We're pleased to announce that you can now quickly & easily assign tasks to multiple people. To do so, check the new "Allow multiple contacts per cell" checkbox in any contact column. The cells in that column will then allow up to 20 people to be added.

You can still leave that option unchecked when you only want a single person to be assigned to a task at a time.

Adding multiple contacts to a cell is useful not only for assigning people, but also for other scenarios where you want to associate multiple stakeholders with a row. For example, you might want those people to receive notifications when the row changes, or you may want them to appear in reports and filters.

For some projects, you may want to add 2 contact columns: one for the primary owner, and another for additional team members.

We welcome you to try it out and let us know what you think.
