Notify assigned to that task is now ready for their work to begin

I have a product development sheet with dependencies and what I am envisioning is that when the predecessors to a particular task are completed and the task is now ready to work on, the row is emailed to the assignee.  For example, internal testing has been completed so we can now submit for certification.  Email Jerry to let him know that he's good to go with this task to submit.

 

How can this be done in SmartSheet?

    This could be done with reminders! Reminders are automatic emails that are sent to remind users of tasks assigned to them. As long as the end date of the preceding task is updated upon completion, this will work. 

     

    Here's an example:

     

    In this example, Sub-task 2 is dependent on Sub-task 1, which means the Sub task 2 start date is one working day after the end Sub-task 1 end date (and will change with Sub-task 1 changes). 

     

    So, set a reminder that says "Send whoever is assigned to a task, an email on the start date for their task". As long as the end date remains up to date (if a task is completed early or late, change the date to reflect that) then each user will get an email reminder on the correct start date of their tasks.

    This exact problem can be solved using Azuqua, an integration partner of Smartsheet. I work for Azuqua and the conditional notification scenario you referred to is one of the many scenarios we enable inside of Smartsheet.

     

    Using Azuqua you can set up a monitor for a change either to a row, column, discussion or new row added to a sheet and then send a notification to a person assigned to that row. The notification can also be based on matching a specific condition of a cell inside that row as well.

  • $250 per month for conditional notifications (Azuqua Basic Plan)! This is something that should be built into smartsheets. It really shouldn't be that hard.
