Resource Allocations

New to SS as a licensed user.  Stumbling a bit with resource allocations.  Wondering if anyone has banged their heads on this as well and came up with a solution to these requirements:

- Ability to have a quarterly and annual view of allocations.  Currently I can only see it on a weekly interval.

- Ability for non licensed Leadership be able to see resource allocations.  Currently, it appears that you have to be a licensed user.  Leadership is only looking for Read access.  Maybe this can be a dashboard report?

Any assistance from the community would be great!

    Hi Todd,

    Unfortunately, there is only one view, and you have to be a licensed user to be able to see the resource allocation. One possible workaround could be to export the resource view to excel and share that with them.

    I'll add a few more thoughts to what Andrée wrote. All opinions are my own.

    At last year's ENGAGE user conference, it was discussed that Resource Management (RM) was undergoing an overhaul. Given the functionality that has been released by Smartsheet since then, I suspect it will be a paid add-on and those of use without the budget for such things, we'll need to continue to get by with what we have now.

    The Resource Views are read-only so adding unlicensed users brings nothing but headache. When a user/resource is allocated to a task that has RM enabled and the viewer does not have access to the associated Sheet, the viewer only sees "Other Sheets" for the allocation location. 

     The API functionality is limited to whether a Sheet is enabled for RM and whether a user is enabled as a Resource Viewer.

     I have periodically done gedankenexperimenten on what it would take to create a different RM system using the Smartsheet architecture and my own problem devolves to that I can not come up with a solution that covers enough of the use-cases I have to be viable (when viewed through the lens of ROI).

  • Thank you both for the response and insight.  Unfortunate that the RM module is looking to a paid component - especially since this was one of the features the SS sales showcased as a feature.

    My hope is that the two items I brought to this community are addressed by SS as a no cost.
