Scheduling by Skillset

Hello!

I am wondering if you can set scheduling on Smartsheet, and if you can, a program on Smartsheet for scheduling based on employee skill sets on Smartsheet.  If there is, how would I go about doing that, and what ways can we incorporate those skillsets for each employee  under a saved file that can be easily edited as time and skills progress and advance? Also, if a new employee leaves or enters, is there any way to add or subtract them as well?

Just curious to see if we can better our scheduling techniques!

Thank You~

Ralph

    Hi Ralph,

    Interesting use case.

    Can you tell me more?

Can you describe your process in more detail and maybe share the sheet(s) or some screenshots? (Delete/replace any confidential/sensitive information before sharing) That would make it easier to help. (share too, andree@getdone.se)

    Have a fantastic day!

I'm curious about this as well.

My initial thought would be to set up a sheet that has employees and their skill sets listed (the exact structure of which would depend on some of your specifics).

Couple that with a table of the skill sets and a number denoting which order overall each should be scheduled, and something should be doable.

  • Andree,

I am not sure if scheduling is within my job per se, I am simply finding a way for our scheduler to be able to schedule our employees at appropriate job sites based on their skills, how many employees available, and the amount of hours demanded for the job.  If Smartsheet does not have that capability, is there anywhere else or another application I should be using?

    Paul,

Our scheduler is not all that tech Savvy, and I wouldn't want to put things on her that would confuse her, which was why I was hoping there was already something integrated into Smartsheet to where she could basically "fill in the blanks" and everything would auto-populate if she specified:

    • The employee's particular skillsets.
    • For each project, the skillsets demanded during that phase.
    • Have the project under those skillsets auto-populate and calculate the amount of hours and associates needed with those skillsets.
    • Calculate availability of employees with skillsets compared to others with similar skillsets and calculate who should be deligated to whichever project based on timing of project.

Perhaps if Smartsheet hasn't come up with that yet, it would be extremely useful.  If not that, maybe Tableau has something like that, or another application?

    Just trying to provide clarity.

    Ok.

I'd be happy to schedule a short meeting to get some more information and see what would be the best way to structure it in Smartsheet.

Reach out to me at andree@getdone.se, and we'll take it from there.

    Best,

    Andrée

I know this is an older post but this feature is coming in the 10,000ft program integration into SmartSheet. I am excited to see how these two work together as I am a scheduler and find great value is something like this.
