Setup webform data to overwrite existing cells above?

Is there a way to setup a webform that would collect numeric data for dropdown field parameter, and then have the output from the form automatically create or replace an existing numeric data in a cell above?

Said another way, I am trying to see if I can create a webform can somehow mimic the functionality of the "Send update request" feature, but I only want it to be for a specific column and allow the user the choice (via a dropdown list) to update only specific rows.  Ideally the form would collect an estimated time to complete a task selected from a dropdown field in the webform by the user.  The submitted data would then be summarized at the top of the sheet by task.  However the key is that I want the time to complete by task at the top of the sheet to only reflect the latest webform submitted.

  • Hi Gordon-- At this point, I don't think there is a way to do this in Smartsheet using existing functionality. In order to copy information from one cell in a sheet (the web form submission) to another field (the summary), you'd need to use a formula. However, the formula would require a cell reference, and since new submissions will be added to the web form over time, this reference would need to be dynamic and "know" to update when new rows are added.

There might be some way to finagle a workaround, but only under pretty specific conditions. For example, in only one submission came in per day, we might be able to create a formula that matches to a date in the submission.

I am looking to do a very similiar function. I have a QR code link to a webform for maintenance engineers to scan once they have completed a task. I would like the webform info to then populate an existing row and specific cells in that row in a sheet. This would allow me to see the maintenence history in a cell for a specific piece of equipment.

  • Hi Paul-- It isn't currently possible to update an existing row with a web form, but I've added your vote for this to our enhancement request list. Thanks for your input!

Is this feature working now or still in road map?

It is not yet possible to update an existing row using a Smartsheet WebForm.

There are other web form providers that can be used. I have successfully used WordPress with Gravity Forms, among others.

In addition, Zapier (www.zapier.com) can be used in some cases for handle this type of use case. The last alternative is to use the API, if you have developers on-staff or available for a custom solution.

I can not comment on the road map (I'm not a Smartsheet employee).
