transfer user between accounts

Hi,

I have 2 accounts, one with TEAM license, second with Business.

I'd like to transfer 3 users from team to business how to do it?

when I'll delete them in TEAM do they lost their sheets? or can I delete them in TEAM and add in Business without lost any data?

    Hi,

This help article explains the steps for transferring a paid subscription.

I recommend that you make a backup of everything before you begin.

You can't have the same email address for a licensed user in two accounts. The same email address can be a collaborator (non-user) in any/all Smartsheet accounts.

Login to your Business Account (likely need to be SysAdmin for this)

Under Account | User Management, select Add User.

Add each user in turn. You will get a message that says "name@email.com is currently a licenesed Smartsheet user. Would you like to add them as a licensed user?"

    Click Invite as Licensed.

This should bring them from the old account  to the new with their sheets and shares. I will test it in a few minutes to see if there are obvious negative repercussions and post here.

Update 1: If users are SysAdmin in the Team account - turn that off. Bringing over a SysAdmin will bring over ALL users to the new account. But at least it warns you.

Update 2: Never mind. This appears to be broken. I will submit a bug report.

    I understand :)

I don't want to have one user on two accounts, I want to move user form team licensed to business licensed without lost his data/sheets/etc. That's all :)

I am still working with support on my bug report. They don't seem to want to acknowledge that saying

    1. Oh. You have X. Click to do this.

    2. After clicking: Sorry, you can't do that.

    is a bug.

    They said:

The first message that states "Example user is currently a licensed Smartsheet user. Would you like to invite them as a licensed user?" is prompting you to update the invitation that will be queued out to include a user license after all the checks are completed. Then the check to confirm if they already belong to a multi-user plan is run, which causes the "The specific email address (example user) is already a member of another account and cannot be added to your account" error message and prevents the invitation from senting [sic].

Me: The bug is therefore in the order of operations. Just add a check for both user and user of multiple system. No misleading and time wasting "Invite as Licensed User" process.

If you need to transfer a licensed user from one account to another, the SysAdmin from the current account will need to go to Account > User Management and right-click on the migrating user. They will then select the Delete User option which will prompt them with the Remove user sharing access and Transfer owned sheets to other user options. These checkboxes are optional so if you deselect them the user will retain all of their data (in view-only mode). https://help.smartsheet.com/articles/795920-managing-users-multiuser-plans-#deleteusers

After they have been removed fro the first account, the SysAdmin on the new account can invite them. Once they have accepted the invite and have been assigned a user license their sheets will no longer be in a view-only mode.

Me: So ... I tried that. I got "Unable to delete this user. They own one or more sheets in at least one workspace owned on this account. Please transfer ownershop of this user's sheets and workspaces before deleting this user."

This seems to me to violate what support stated.

I also tried changing the user to an non-licensed user first, still got the message user "... is already a member of another account and cannot be added to your account"

  • Anything new on this?  We have Teams and would like to have a handful of users on Business but at this point we do not know the limitations.  It a appears that one of them is moving users in between the 2.

  • Bump.

We have this same issue. We have user provisioning as non-licensed user on an enterprise account but we need to create licensed users on a separate business account. Get the same error as described above.

"The specific email address (example user) is already a member of another account and cannot be added to your account"
