What data is sent to Zapier on the updated row trigger?

Hi,

I want to send a custom email with data of a row when some of its cells are updated.

The recipient of the email is in a column of the row.

I try to do it with Zapier using the "Updated row" trigger but it seems that the data sent to Zapier is all the sheet and not only the row.

Has anyone faced this?

How could I only work with the row that has been updated?

Best,

Thomas

  • Hello Thomas,

The updated Row option should only cause newly updated rows to trigger any additional actions in Zapier.

When the Zap is first created, it may trigger Zaps on some or all rows for a short period.

When the Updated Row zap is first created, the entire Sheet is sent to Zapier so they can cache the data. They do this so they have a record of all existing Rows, to know when one is updated.

So, while this caching process takes place, it's possible that  Zaps may fire on Rows that have not been updated. This issue should disappear shortly after the Zap is created.

If you have any additional questions about our Zapier integration, please let me know!

    Thanks,

    Joseph

  • Hi Thomas,

This exact problem can be solved using Azuqua, an integration partner of Smartsheet. I work for Azuqua and the conditional notification scenario you referred to is one of the many scenarios we enable inside of Smartsheet.

Using Azuqua you can set up a monitor for a change either to a row, column, discussion or new row added to a sheet and then send a notification to a person assigned to that row. The notification can also be based on matching a specific condition of a cell inside that row as well. We will only send the contents of the row itself and not the entire page as your referred to.

If you want to learn more please visit our app listing at Smartsheet here:

Please feel free to follow up with any questions.

    Joseph,

I have been experiencing the same behaviour for my Zap using the update row trigger.

Simple flow of events has been

    1. Turn Zap on
    2. Zap triggered for 7 rows based on updates
    3. Approx. 1 hour after turning on Zap triggers for ALL rows in Smartsheet rows (113 task and 113 rows of data)
    4. Turned Zap off as this occurred at end of day
    5. Replayed data
    6. Turned Zap on
    7. 113 tasks held by Zapier as Zap triggered fro ALL rows in Smartsheet again. Only 7 rows have been updated in last 24hr

    Can you please help with:

    1. The "Events" that trigger the entire sheet to be sent to Zapier.
    2. Can you explain how this caching works with respect to turning the Zap On and Off
    3. How long "shortly" is?

    Thanks

    Paul
