If you've ever wondered who in your organization is using the Smartsheet API and how extensively — you no longer need to reach out to Support to find out. A new dedicated view in the Admin Center gives System Administrators direct visibility into API usage across their organization.

Here's what's included in this initial release: API User Visibility shows all users, including service accounts, who have made API calls in the last 30 days, along with their last active date and aggregate call count. Endpoint Usage Breakdown lets you view API usage by endpoint category and specific endpoint, with raw call counts over the last 30 days. All data is admin-scoped — accessible only to System Administrators and limited to your organization.

This feature lays the foundation for better API governance and auditability, helping you understand your organization's API footprint and make informed decisions about access and usage. Navigate to the Admin Center and select API Users and Usage Data to start exploring. Learn More.

Note: This feature is rolled back for a short period aiming to resolve a small issue. Thank you for your understanding.

At the moment, each user has the ability to change their own password under the personal settings although we have assigned them credentials. Is there a way that we can remove this option on their account to provide the Admins more governance?

I am inquiring to prevent any employees who are no longer with us and continue to utilize Smartsheet accounts that were assigned to them. I see that we have a Last Activity in the Admin Centre but besides changing their password, is there a way to see where they are logged in from (location/which computer) and from what device?

When managing groups via Group Management in Admin Center, we found that Mr. Ariel is set as the group owner of one specific group. However, we cannot add him as an ordinary group member to the same group during new member addition.

Additionally, we have no such issue on other groups where Mr. Ariel is also assigned as Group Owner.

Has anyone encountered this issue before? Could you share the available solutions?

When assigning Member Licenses to new users, the recipients are unable to accept the invitation, and the option for me to resend the invite email is unavailable. This issue occurs with two different new members we’ve tried to onboard.

Has anyone run into this problem? Kindly advise possible fixes, thanks very much!

As a Smartsheet System Admin for our enterprise account, we need the ability to view, audit, and manage all active API tokens created by users in our organization. Currently, admins have no visibility into which users have created tokens, when they were created, what they’re used for, or whether they’ve expired. This presents a significant security and governance gap, especially in large organizations with many integrations and automation workflows.

Why This Matters:

  • We cannot audit token usage or ownership.
  • We cannot enforce governance policies around token creation or scope.
  • We rely on manual communication and service accounts to mitigate risk.

Suggested Features:

  • Admin dashboard listing all active tokens, their owners, creation dates, and expiration.
  • Ability for System Admins to revoke tokens centrally.
  • Exception list for API users to be manually added upon approval by System Admins.
  • Audit logs for token usage and access.
  • Customized expiry thresholds.

Impact:
This would greatly improve security, compliance, and operational continuity for enterprise teams using Smartsheet for automation and integrations.
