I would like to know if it is possible to create a notification for process owners within a specific department. For example, when the "Completed" option is selected in a row, the system would automatically generate a notification informing the process owner that that section of the Smartsheet has been completed.

Is anyone having issues with the Form Validation for Number only?

When we have Number only selected, users are unable to key in a number - we have had to change the form to No Validation

Column Headers

I would love two enhancements to the column headers. First, I would like to be able to center the title in the space. It looks cleaner when you use it for dashboards and reports. Second, can we expand the column header character limit. Sometimes you need to put a little more information than the space will allow and not everyone who inputs data, especially if they use a form, has the ability to see the "hover" information bubble.

Have the esc button not exit the form edit screen

When I am editing a form and need to close a pop up window, the Field Type for example, I am in the habit of hitting esc and that closes not only that pop up window but also closes the entire edit form section without saving any changes that have been made.

I'd recommend either disabling that function, or adding a box that asks us to confirm if we want to exit the form edit when esc is pressed.

Form requires Email, Sheet shows Name

I have a form that specifically requires an Email address (validation is set to Email). Recently, some are coming in as Contact Names rather than email. I've spoken with submitters who state they entered an email address. The form does not allow completion without an email address.

Why is the email showing up as a name in the column? Not always, but very recently it started doing this.

Sometimes, the name has never been entered previously. Others were entered as an email many times, but now shows as a name.

Handling Smartsheet Picklist entries and date fields using Power Automate

Greetings,

I've been trying to create a flow to make entries to another team's smartsheet when one of my team uses a microsoft form. For the fields that need to be added, I have ensured that my multi-choice fields match the smartsheet target word-for-word. I've also created a compose action to create an output of the selected values separated by a comma and space, yet I'm still getting errors when I try to run the flow. I'm also struggling with translating a date time field into smartsheet as well. Has anyone tried this? Everything I can find points to comma separated, but it's not working. Please and thank you.

Form Submission Triggered Full Sheet Approval Automation

Just had a single form submission trigger an approval automation for every row in the sheet.

The sheet is set up to send an approval automation once a user submits a request via form. In this case, once the form was submitted the automation triggered for every row in the sheet where "Principal Approval" was blank, even when "Project Name" was not added or changed. This workflow has been in place for over a year and it's never done this before.

Anyone have any idea what happened here and how to prevent it from happening again?

Pre-Filled Forms Using URL Queries: Tips and Tricks

Using URL queries to pre—fill forms seems to be catching on a bit more lately. There are a lot of resources out there, but they can be kind of spread out, so I figured I would start a thread that has some of the lessons learned, tips, and tricks that I have discovered along the way.

Tip #1

The first one that I find makes things more efficient is that for most of the special characters that need to be encoded, you can wrap the whole thing in a SUBSTITUTE function instead of using separate SUBSTITUTE functions for each field for the same character(s).

One of the most common is a space which needs to be swapped out with “%20”. Instead of swapping this out for all of the fields I want pre-populated individually, I can manage all of them at once using something along the lines of

=”form_url?” + SUBSTITUTE(“Field Name 1=” + [Field 1]@row + “&Field Name 2=” + [Field Name 2]@row , “ “, “%20)

You can do this for multiple special characters by nesting SUBSTITUTE functions like so:

=”form_url?” + SUBSTITUTE(SUBSTITUTE(“Field Name 1=” + [Field 1]@row + “&Field Name 2=” + [Field Name 2]@row , “ “, “%20), “@”, “%40”)

Tip #2

There are a few special characters though that you don’t want to swap out of the entire string. We want to keep =, %, and & in place because they are part of how a URL query works. To accommodate these special characters, we do need to wrap each specific field in a SUBSTITUTE function, but we only need to do this for fields that will potentially have these.

Using the above example, if we want to remove “=” from [Field 1], would use an individualize SUBSTITUTE function that works like this:

=”form_url?” + SUBSTITUTE(SUBSTITUTE(“Field Name 1=” + SUBSTITUTE([Field 1]@row , “=”, “%3D”) + “&Field Name 2=” + [Field Name 2]@row , “ “, “%20), “@”, “%40”)

Tip #3

One of the other quirks I have found was with date. One of the unintended consequences that came from the recent form updates was that dates had to be loaded into fields a very specific way. I think I read somewhere that it was fixed, but just to be on the safe side, I use a bit of a formula within a formula to fill my date field with the date in the “yyyy-mm-dd” format. This has worked very consistently so far. That piece ends up looking like this:

"&Date Field=" + YEAR(Date@row ) + "-" + MONTH(Date@row ) + "-" + DAY(Date@row )

New rows added no longer triggering automations (post-Jul. 30 outage)

Hello,

I have a sheet where whenever a new row is added (via form), an automation is triggered to copy that row to a secondary sheet. Since the outage on July 30th (via Smartsheet status), that workflow is no longer triggering upon rows being added. I am going through and manually triggering that automation now, and it's starting to work, but still won't trigger on it's own as it should. Is anyone else experiencing this, currently?

Nothing else in the sheet has changed. In fact, I am the only one that uses the back-end of this sheet in the first place. The activity logs show no changes either.
