Who can manage groups?

• Any System Admin or the group's Owner can make changes to an existing group.
• Group Admins can only add or remove users from the groups they own.
• You must be the group's owner or a System Admin to add or remove users.
• You must be a System Admin or the group's owner to transfer group ownership.

I use a Group (from the Group Management functionality) to enable permissions in a Workspace (and therefore all of the sheets, dashboards, and reports in the workspace).

However, in Workapps, we can not assign permissions to roles based on this Group. We have to enter users in individually. The screen capture shows the permission window from Workapps for reference.

When we need to make changes to a users permissions, we can not change the permission in one place. For example, if we need to delete a user's permission, we must do it in the Group and Workapp.

Request:

1. The Groups created in Group Management can be used across all Smartsheet apps so that we have one place to manage a user's permission.
2. We can add a user as an individual to an WorkApp if they need a permission level not provided by their registration in the group. (this can be done now in Sheets, Reports, Dashboards).

I work at a community college and we don't currently have a CRM solution that will help me with the work I am doing. I am trying to create something to track current and future contacts on an organizational level as well as individual. One company might one contact only but in the case of a large organization (like Chevron for instance), there will be multiple. I have a basic excel sheet to track information but I am wanting more functionality and automation of emails.

Information I want to collect: Name, Name of Org, Title, Email, Phone Numbers. I currently also have images so that we can recognize a person. Once I have that information uploaded or entered, I want to be able to have my multiple staff members reach out to these people/orgs and indicate that they were contacted, enter notes about the convo, and who made the contact on what date.

I'm not an advanced SS user and so I'm thinking I would like to be able to expand a company name and see all the contacts under that org?

Any help is appreciated. This is what my list looks like so far in 'draft' mode.

When managing groups via Group Management in Admin Center, we found that Mr. Ariel is set as the group owner of one specific group. However, we cannot add him as an ordinary group member to the same group during new member addition.

Additionally, we have no such issue on other groups where Mr. Ariel is also assigned as Group Owner.

Has anyone encountered this issue before? Could you share the available solutions?

Starting Workflow

This Workflow:

1. Gets a list of all rows from the Smartsheet Groups sheet
2. Deletes all rows from the sheet
3. Gets a list of all Groups in an array.
4. Runs the child workflow for each group

API call is:

Get Smartsheet group data

This workflow:

1. For each group
   1. Adds a row to the sheet with the Group ID and Name
   2. Gets the members for each Group
   3. Runs a child workflow for the members

API call is:

Add Group members to sheet

This workflow:

1. For each group of members
   1. Extracts the members emails
   2. Extracts the number of emails in the group
   3. Splits the emails into contact columns with a limit of 20 contacts per contact column
   4. The structure below repeats for every 20 memberd

The owner must remember to switch ownership to another person if they are going to be out of the office. Otherwise, users can't be added to the group in the owner's absence. In the case of a planned vacation, the owner may remember to switch ownership. In the case of illness or unexpected absence from work, the owner will likely not remember to make this change.

Solution: We need to remove the need for relying on human memory to make this change. Enhance Group management so that there are Owner and Admin roles. These Admins will have the ability to add and remove people from Groups but will not be able to delete, rename, or change the description of the groups.

Although I probably wouldn't use it Bcc: field could be useful to some folk too?
