We love the whole portfolio level reporting that covers our full Control Center Workspace. However, we also want reporting that is specific to each of our Project Managers. Right now, the space is not intuitive. So while we have a PM assigned to each project folder, I can't dynamically create reports and dashboards from that level.

The workaround is tedious. I had to add a helper column to every single plan that links to the PM (Assignee) field from the Project Summary Sheet. Then I had to create a report that sorts by that new column and uses the "current user" filter. That then feeds the Dashboard. With a system this mature, the process should be more intuitive.

Summary

Introduce a new roadmap visualisation within Smartsheet that allows multiple tasks or phases belonging to the same project to be displayed on a single row. This would provide a true portfolio-level roadmap view similar to those available in dedicated roadmap products, whilst retaining Smartsheet as the system of record.

Current challenge

Smartsheet's existing Gantt and Timeline views are task-centric. Whilst excellent for project execution and detailed planning, they are less effective for portfolio-level communication where stakeholders need to understand how projects progress through key phases over time.

Today, projects are commonly structured as:

Project A

Design

Development

Testing

Launch

In Gantt View, each phase appears on a separate row. In Timeline View, tasks are also displayed independently. This makes it difficult to create executive-level roadmaps where projects occupy a single visual lane and multiple phases are displayed sequentially across a timeline.

As a result, many customers export Smartsheet data into Power BI or similar tools purely to create roadmap visualisations.

Proposed Solution

Introduce a new Roadmap View that:

Displays one row per project.

Allows multiple date ranges to be rendered on the same row.

Supports colour-coded project phases.

Supports milestone markers.

Supports grouping and filtering.

Supports programme and portfolio roll-ups.

Maintains a live link to underlying task data.

I'm trying SS support pages, community questions, and AI. Help!

I'm wondering how others have used Smartsheet to create a portfolio view of risks and issues. We aren't a large organisation and there is a lot of interdependence between different projects. It feels like overkill to create a separate RAID log for every project. I'm thinking about adding a column to the RAID log that will have a dropdown list of all the projects. When the project manager enters the risk or issue into the log, the can select one or more projects that it relates to. We can then filter the report for the portfolio dashboard by entries that pertain to more than one project.

What have others done that has worked? Does this sound like a reasonable suggestion?

We are using the new EAP feature called Portfolio to manage projects in Smartsheet. I want to try out some of the features in there such as report building across the entire portfolio, but I don't know where to access that feature. Specifically, I'm reading through the PDF documentation and on page 7 is shows that you can build it from what looks like the main portfolio page. However, I can't figure out how to do that. Below is the screenshot I'm referencing.

I've created a report in Smartsheet that looks at all active projects and pulls specific columns in. This allows us to look at a high level Gantt of individual tasks across all projects. I'm struggling with two aspects, though.

I want to be able to filter to see what activities are happening in a given quarter. To do this I created a column that shows what quarter a task starts and another column that shows what quarter a task ends. The problem is if I filter to show, for example, Q3 2026 and a task starts in Q2 2026 and ends in Q4 2026, it won't show up in my filtered Gantt.

I want to create a stacked horizontal bar for each project to show what phase the project is in. I am able to do this with a phase task, but that creates multiple rows for each project that are stacked above each other. Is there a way to create a stacked horizontal bar chart type view within my report?

Not sure if I'm describing this well, but any help or direction anybody can provide would be greatly appreciated.
