I'm trying to learn how to utilize automations to move certain rows to new sheets in order to explore if my larger/longer ranging goal is possible.

Where I'm Currently Stuck: I can't even figure out how to create functional auto to send a row to a basic sheet. That is my immediate need.

But if you're looking for a creative project to help me think through, below is my longer-term goal. Is this possible? If not, what's the next best option that IS possible and how do I do it?

Long-term Goal/Vision: My research team gets a request for new work/data/fact sheets that enters their queue through an intake form tied to a main 'mothership' triage sheet.

—> Team leader "triages".

—> When drop-down triage is checked to mark approve then autos create separate FOLDER space that uses the naming convention in assigned in my # Auto Number column for research work ID#.

—> That folder template is set up with a main sheet which holds the contents pulled directly from the triage/mothership sheet

—> Additionally, the folder template is set up with a sql sheet containing basic drop-down categories that filter the type of sql code they are storing there (e.g., by topics like "Legislation X", "Statute Y", etc.

Below is an image of how the team's research requests are currently organized in their shared drive, which is what I'm hoping Smartsheet can replace with my above listed dream (but the dream continues below the image!)

Continued Dream:

ALL sql sheets are pulled into a central sql report so the team can can search the sql report by the dropdown tags in order to locate code they have used previously for related work.

(Currently they do this with a ctrl+F method in the drive, but I'd like it to become an automated option that is hyperlinked across all subfolders. Annually, the team gets ~150 requests, compounded by a few years, that's a very layered report pulling from many sheets. Too much to maintain manually, but would be SUPER SLICK if it could happen automatically.)

IS ANY OF THIS POSSIBLE?!

I'm building an automated Above Ceiling Work Permit process for our hospital and have almost everything working. I'm hoping someone can tell me if the final step is possible using native Smartsheet features.

My current workflow

1. A contractor scans a QR code and completes a Smartsheet Form.
2. The form creates a new row in my sheet.
3. A PDF is generated successfully using Smartsheet Document Generation (fillable PDF mapping).
4. The generated PDF is automatically attached to the row for recordkeeping.

What I'm trying to accomplish

I want the generated PDF permit to be automatically emailed to the contractor using the Email Address they entered on the form.

The Email Address is stored in a column in the sheet.

Ideally, the workflow would be:

• Form submitted
• PDF generated
• PDF attached to the row
• Generated PDF automatically emailed to the contractor

My question

Can this be done using native Smartsheet Automation and Document Generation, or does it require Smartsheet Bridge or another integration?

I am looking for advice on the best way to architect a cross-team project tracking system.

My current setup:

• I have multiple teams, each maintaining their own individual project sheet.
• Each sheet contains a list of projects specific to that team.

The Goal:

1. Cross-team Dependencies: I want to add a dropdown column to each team's sheet that allows users to select a "Primary Project" from a different team's sheet if thier project is a dependency/support task for that primary project.
2. Consolidated Reporting: I want to create a single report that aggregates all these "supporting" projects into one master view to show how work is interconnected.

My Questions:

• What is the most efficient way to keep these dropdown lists updated as projects are added/removed across different sheets? (is there a way to automate this, or is manual maintenance required?)
• Are Data Shuttle or Dynamic View the right tools for this, or is there a simpler way to handle these cross-sheet dependencies?
• Are there any "gotchas" regarding report performance or lookup limitations I should be aware of when scaling this across many teams?

Any advice, templates, or architectural suggestions would be greatly appreciated.

Note: I am on an enterprise plan with no additional premium features. So any solution must be manually programmed.

I can confirm that every row in this sheet has an attachment.

2. A cell on the sheet that shows "Submitted", which is correct, made by Smartsheet Automation.
3. A screenshot showing 10 (there are more!) BLANK cells, where "Submitted" should appear.

What am I missing???

Setup:

• I have a Smartsheet form with:
  • A required “Your Email” field (Contact column)
  • Several hidden Contact List fields populated automatically
• Automations use “Send to contacts in a cell”

1. Submitted workflow
   • Trigger: When a row is added (form is filled out)
   • Action: Send update request to “Your Email" and two of the hidden contact fields
2. Approval workflow
   • Trigger: When rows are added or changed (when "Approver" changes to any value, so when the DataMesh configuration runs to populate Approver/Admin contacts based on another column after form is filled out)
   • Action: Send approval request to "Approver" and all three hidden contact fields

What's happening:

• When I test the process using my own email (for submitter, approver, and admin)
  • I receive all emails (submitter, approver, admin notifications) as expected.
  • Other hidden contact fields listed in the same automation do not receive anything
• When a different user (who is one also of the hidden contacts) submits the form and is also assigned as approver/admin:
  • Their email correctly populates in “Your Email”, "Admin", and "Approver"
  • However, no one receives emails in the automations, though they seem to run normally

All contacts are contact columns, and are all in the same organization, so it shouldn't be an issue of Smartsheet emails being blocked. My Automation Permissions are also set to Unrestricted.

I initially wondered if this could be related to duplicate recipients or suppression when the same person fills multiple roles during testing, but that doesn’t seem to fully explain why other contacts in the workflow aren’t receiving emails either.

Any ideas on how to ensure consistent email delivery are appreciated, thanks!

Specifically, I have a column entitled "send to contact" that can either be checked or unchecked. When the column is checked, I would like it to trigger sending the attachment for that row to the email address of the contact for that row.

Any suggestions?
