Safe Share

Hi All,

We are in the process of turning Safe Sharing,

Our IT department wants a Approval workflow set up for new requests - I am reluctant to do the work flow in the Safe Domain and Safe Email registers, as we want approval before it gets added to the "Safe" Lists

What are your thoughts on best practice for this?

Another questions is related to below

Does this mean we wont be able to send automated emails to external email addresses?

We have a recruitment solution and one of their automated emails is to the candidates email

ie gmail/yahoo/outlook ect ect and we need these to be sent - adding thousands of email to the safe list just wont be an option

The approved users and domain lists also restrict email, which means users won’t be able to send emails from Smartsheet to restricted domains and email addresses.

Without adding anything to the safe sharing or safe domain lists you can set the notifications on the individual sheets i.e. the IT and recruitment one to unrestricted, this will allow notifications to any email addresses in these instances.

Hi @Susan van Niekerk ,

It sounds like you’re wanting to build an approval workflow from one or both of the sheets that are created when you activate the safe sharing policy.

I don’t have access to test this, so I’m unsure if this would work as required, but my suggestion would be to create the approval request workflow on a separate sheet, and create a copy row workflow on that sheet to copy the row to the required sheet when a row is approved.

Unfortunately if you switch Safe Share on it affects those automated notifications

Apparently the copy a row doesn't work with the Safe domain and safe email sheets that are generated when switching on Safe Share

I have safe sharing enabled on my enterprise account, and notifications are being issued to external non safe sharing or safe domain listed email addresses just fine when the permission on the individual notification is set as shown above?
