Choose order of WorkApp Roles
Currently newly added roles appear at the top of the list and anyone in more than one role will default to the uppermost role for which they are a member.
It would be useful if we could choose the order of the roles so that we could determine the role a user/usergroup would default to.
When the roles are all known before building an app we can allow for this but when circumstances change we either have an unprofessional requirement to change roles frequently or we have to rebuild a new app and retire the old one just to change this.
Re: Column widths should be lockable
Administrators and owners ought to be able to set and lock column widths in shared sheets......
Group Multi-Select Dropdown and Multi-Select Contact Columns within Reports
It would be great if we had the option to group line items in a report by options selected in a dropdown column.
Ex. If you are viewing projects within a global campaign and have "country" as a column with the fixed values for all the available countries. It would be nice to be able to run a report where you could group the projects by the countries that were selected in the country column.
Not sure why this isn't an option but this seems like an incredibly useful feature that would improve the functionality of reports.
Dynamic View Folders
Would like to be able to group dynamic views in a folder for like departments or allow tagging on dynamic views for sorting and filtering
Smartsheet Forward Q1 2024: Making work smoother, more intuitive, and fun
As we kick off 2024, many of you have been reflecting on your goals for the new year, and at Smartsheet we’ve been actively working on a whole bunch of new capabilities to help you reach your goals at work and to do so with fewer steps in Smartsheet. We’re also making features more discoverable, and making sure you have training that’ll help you get the most out of them.
Smartsheet SVP, Product Management Ben Canning shares key areas of focus and the milestones we've achieved as well as what’s up next in the latest version of Smartsheet Forward.
Browse some highlights below or get all the details here.
Resource Management: Just got a whole lot easier
- Workload Heatmap provides a clear and immediate view into the availability of your team members, shifting task assignment from guesswork to a data-driven strategy.
- Workload Schedule gives you a comprehensive full-screen view of all team tasks and timelines. It simplifies the process of task reassignment and timing adjustments, while also providing visibility into the projects others are working on.
AI enhancements: Smart just got smarter
- As of this quarter, any licensed Enterprise user can simply describe their ideas, and AI will write the formula for you — including complete column references — directly in your sheet.
- AI text and summaries allow you to use your sheet data to write ad copy, extract specific pieces of information from sheet data, analyze sentiment, translate text, summarize a task, and more.
New views: See your work in a whole new light
- Performance and scale optimizations will make sure your sheet loads quickly no matter the size — and that your solution can scale. And each new view will feature a new modern interface.
- We’re introducing fresh ways to visualize and manage date-based work with timeline view and board view (new card view) — - a favorite among project managers, creatives, and agile teams because it enables them to collaborate and categorize tasks in real-time. Later this year, you can look forward to the EAP launch of table view (the new grid view) and more.
And much more…

Workload Tracking Features Now Available in Smartsheet
We are excited to introduce two new workload tracking features in Smartsheet for Licensed users with Business and Enterprise plans: the Workload Heatmap and Workload Schedule.
The Heatmap provides a visual snapshot of team availability, making task allocation straightforward. Meanwhile, the Schedule offers an expanded view that explains why someone may be overallocated and which other projects they are involved in. These features enable managers to efficiently manage and balance workloads, enhancing team performance and streamlining project execution.
Workload tracking can be accessed and enabled by clicking on the resource management icon located in the right rail of a sheet.

Mapping Diagram/ Export Documentation of workflows
Can the automation workflows be exported into a mapping configuration for documentation and recording purposes?
Is there a tool or app that anyone uses for this?
Part of our IT process is documentation, and having a way to explain in a visual mapping of all the sheets, reports, workflows, and dashboard components would be very helpful so then we can easily fix any broken pieces, update any changes, training new members and duplicate for future solutions.
Azure and Unlicensed Users
Please sync Azure AD users flagged as Unlicensed so that SmartSheet can see / use them WITHOUT a first logon.
We have Azure AD Integration with both SSO and user provisioning (SCIM based).
For licensed users this works great.
For UNLICENSED users Azure believes the sync has worked but the users do not appear in SmartSheets until they logon the first time. The problem here is that it means that users can't be assigned tasks UNTIL they have logged on the first time.
Re: Folder-level permissions
Any updates on this functionality? It's been a year since Smartsheet has updated on this...
Re: Folder-level permissions
I think I've submitted this before, and reiterate/echo: this is an urgently needed feature. Being able to better manage users by groups and provide access to folders is critical for project work.
