Be aware of upcoming changes to asset Admin permissions and new Plan Asset Admin role
Update on 2/15/24: The first phase of the asset ownership changes is currently in EAP. However, we previously communicated to SysAdmins that it would become generally available to all customers on February 14, 2024. This is to let you know that due to EAP feedback, we've decided to make some further improvements to this process and are now aiming for a general availability date anytime on or after March 5, 2024.

Currently, core Smartsheet assets (such as sheets, reports, forms, and dashboards) are owned by individuals in a plan. However, the current ownership model can create friction when key stakeholders or asset owners leave the plan or organization. In order to combat this, we will be making some changes in the coming months to improve the experience of SysAdmins and end users by moving the ownership of assets from the individual to the plan level.
We will be launching these changes in multiple phases. In the first phase, we will be upgrading the permissions of Admins on a core Smartsheet asset to that of an Owner and introducing a new Plan Asset Admin role. We will be running an Early Adopter Program (EAP) release for this phase in January 2024 to collect feedback from customers in organizations who have opted in to EAP at the account-level. This will be followed by a customer release for this phase in early 2024. To get a sneak peek at what’s coming in the first phase, please read this help article.
Future phases will follow after the GA of the first phase and will involve the deprecation of the “Owner” permission on core Smartsheet assets, sometime in 2024. More details will be provided in the coming months.
These upcoming changes will impact licensed users on all plan types in Commercial US and EU instances of Smartsheet.
