Enhancements to the Alternate Sheet Access Report and Published Items Report now generally available
Hi Community,
We introduced alternate versions of the Sheet Access and Published Items Reports late last year to assist customers facing timeouts with the original reports due to their large size. These alternate reports replaced some columns with API URLs, which required SysAdmins to use programming tools and custom scripting to access detailed information.
We’re excited to announce a new update that adds an "Item Name" column and a “Published Item Name” column to the alternate Sheet Access Report and Published Items Report respectively. These new columns provide clear, human-readable names of Smartsheet items—like Sheets, Reports, and Dashboards—making it easier for SysAdmins to identify items without technical expertise.
Please note that the original Sheet Access and Published Items Reports remain available and unchanged. Learn more about Sheet Access and Published Items reports.
You can also stay informed by subscribing to receive product release updates for curated news of recently released product capabilities and enhancements for the platform of your choosing, delivered to your inbox. @Lekshmi Unnithan (Hi! haven't talked to you in ages 😊)
The sample report downloads as an XLSX file. It's got formatting in it, and both ID columns (Resource ID and Subject ID) are displaying as scientific notation .
There is also a header (merged cells) that could impact our ability to manipulate the data
Could we get a data file, without formatting - CSV like the other files?
-
-
Also - the API URL results in this:
{ "errorCode" : 1004, "message" : "You are not authorized to perform this action.", "refId" : "hnben1"}
-
Hi Melanie, hope you're doing well! Let me bring this up with the PM and technical writing team and get back to you.
-
Thanks @Lekshmi Unnithan !

Hey @MCorbin - our Product and Engineering partners shared that the syntax for the item API URLs in the help article are only an example. The syntax needs to be customized for each customer's unique needs. If you're still running into issues with this or need additional help, please contact our Support team.
As for the sample reports, unfortunately, our help article and Community platforms don't support .csv files. That said, I've included two sample reports here that you should be able to open and download as .csv files. Please let me know if you can't access them for any reason:
Best,
Lekshmi

@Lekshmi Unnithan You ROCK! Thank you!!!
-
@Lekshmi Unnithan - Do you have an estimate for when this is going to be available with our data for testing?
-
@MCorbin I wanted to clarify your question. Do you mean when these enhancements will be available with your organization data?
-
@Amin Khan - Yes, that's what I mean. In order to be able to test my updates, I need to have a report with my organization data in it.
-
@MCorbin These enhancements are available now for the alternate Sheet Access Report and alternate Published Items Report. Go ahead and try it out in Admin Center now and let us know what you think!
-
@Amin Khan - where in Admin Center? I'm not finding them.
-
Once you are in Admin Center, head over to User Management. Once on the User Management page, click on the 'More Actions' dropdown menu and the available report options will surface there. Let me know if they appear for you there.
