Automatisation and Connection

Hello,

I am new to SmartSheet.

I work in the audiovisual industry and would like to use this tool to streamline our internal workflow.

Here is my question with some context:

I have 4 video editing rooms and multiple projects throughout the year. For each project, I create a SmartSheet and enter the dates of different events (Editing, Filming, Color Grading, etc.). In each project sheet, I have a column called "Event" (indicating the current task), a "Start Date" column, and an "End Date" column. Lastly, I also have a "Room" column where I specify one of my 4 editing rooms to indicate that the action will take place in that particular room.

The problem is that I’m afraid of getting confused when assigning my four rooms across all my projects. So, I would like to have a sheet per project and a general schedule sheet for all the rooms. This way, when in each project’s "Room" column, I select a room, SmartSheet can tell me whether or not the room is available on those specific dates. Each project sheet should be connected to the room sheet.

Furthermore, it would be great if the room schedule sheet could automatically update as I fill out each project sheet.

Thank you in advance for your responses.Have a great evening!

Let me know if you need any changes!

I think you may find Gantt charts helpful for your solution. It will give you a nice visualization of when work is being done, then using predecessors you can automatically start a project based on another projects end date. Throw that into a grouped report (grouped by Studio #), and you'd be able to visualize all projects across all studios in a single view.
