Do you need to be shared to the folder that contains the SharePoint file for data shuttle to work?

I am trying to get data shuttle to connect to an excel file that was shared to me. However, it appears that I need to be shared to the folder that contains that file as well. When I go into data shuttle and look for the source file, it shows me all the folders that I am shared to and I can see all the files within those folders but I can't see any files shared to me where I am not shared to its parent folder. Can someone confirm it is a requirement for Data shuttle to work that you must be shared to the folder? I read that One drive will not show files shared to you unless you are shared to the folder.

    Hey @dkunkel

    Yes, you must have access to the files that Datashuttle will access. The Microsoft authentication verifies this for Microsoft objects.

  • Ok. Thank you. Just to clarify. I do have access to the shared Excel file through my SharePoint account. What I don't have access to is the folder where the file is located which probably contains many other files. Smartsheet data shuttle does not show this Excel file shared to me. I assume you are stating that I must have access to the Parent Folder and not just a file within that folder before data shuttle will be able to see it. Can you confirm? I want to make sure this is the case before I ask an executive to give me access to a folder that may contain other files that are more confidential. If I need to explain through screen shots, let me know.

  • Hey @Kelly Moore, thanks for the tag!

    @dkunkel the file picker that surfaces SharePoint content is owned by Microsoft; it should match what you see when using the Sharepoint site directly.

    I actually don't personally have access to Sharepoint so I can't test this, however @dkunkel can you check if you can see this file in Sharepoint without having access to the parent folder? This means without using links from emails/messages, shortcuts, separate 'Files shared with me' section, etc.

  • @Genevieve P. Yes, I can see the file in SharePoint without having access to the parent folder. I cannot see it in Data Shuttle. I requested access to the folder today and as expected, I can now see the folder and underlying files in Data Shuttle. I think we can conclude then that is necessary to be shared to the parent folder. Data Shuttle will not find files shared to you if you are not also shared to its parent folder.
