Grouping a Sheet that Automatically Collapses Records

I have a sheet with a lot of data and when I try to group by a column everything collapses. I had read that if there are 2,500 row entries that collapsing automatically happens, but wasn't exactly sure. Is there a workaround for this kind of issue?

Hi @kkinman,
That’s right, grouped reports with more than 2,500 rows of data are auto-collapsed.
However, we have determined that currently, only the grouping for the first 2,500 rows of grouped reports is being displayed, and other groupings are missing from the report. This is caused by a bug and our Product team is working on a resolution. We are not able to provide a time-frame on how long the resolution could take but we are doing our best in order to have this fixed as soon as possible.
Thanks,
Georgie

Got it, so the only way to make a grouping work would be to export some of the data?

Hi @kkinman,
I can advise that the bug I referred to with groupings being missing in reports with more than 2,500 rows is now resolved.
However, it’s still expected behaviour that groups will automatically be collapsed when reports have more than 2,500 rows, and you won’t be able to expand those groups unless you edit your report to ensure it has fewer than 2,500 rows. See this article for more information: Group data to organize results in report builder.
So yes, one way would be to export some of the data, or you could create multiple smaller reports to ensure that each one contains fewer than 2,500 rows, for example, filtering reports so that they only display rows for a certain time period, and changing the time period for each one (you could make copies of the original report using File > Save as New and then adjust the filters on each one).
Hope that helps!
Georgie
