Sharing Permissions on Reports While Protecting the Underlying Sheet

We have a sheet that represents a cross functional project plan (1000+ lines) that we want to limit access to in order to protect the information included in the plan. We've also created individual functional reports for individuals to view and update specific data within their functional plans.

In order for them to make updates in their functional reports, they need to have edit permission in both the report and the underlying project plan sheet.

When we use @comments, the email that goes to the individuals includes a link to the full project plan, which enables them to make edits within the full plan. How can we keep them out of the full project plan?

Does anyone have experience with this who may have a solution?

  • Have you considered using "update requests" automation? Users can update required information on the sheet without needing to having access to the sheet. Reports can be created for visibility purpose and placed on a dashboard. This may provide you some options.

  • Alternatively, if your company has the premium app "Dynamic View" - this will allow changes to some columns without having access to the sheet as well.

    Yes we're also using update requests in addition to the reports. There are certain fields we need them to edit and others that are locked on the reports, and they need edit permissions to do that.

    Thanks for the suggestion on Dynamic View - I'm hoping there may be another workaround vs. paying to upgrade.

    If anyone has additional solutions, please let us know.
