I have a sheet with three approval workflows for a Payment Contract —- first approved by Program Manager, then approved by a Finance Rep, then approved by the New Hire.
Currently, if, for example, the Program Manager, clicks Reject in her approval request, she receives a follow-up Update Request to provide a reason for the rejection. If she doesn't respond in 2 work days, she receives a reminder to go to that Update Request and provide a reason.
The workflow does not move to the Finance Rep until the Program Manager provides the reason for rejection.
In a testing session today, the Program Manager said she didn't receive the follow-up Update Request (which I can see was sent 6 work days ago). Turns out it was in her Spam folder.
The concern was raised that essentially the workflow across the three people (Program Manager, Finance Rep, and New Hire) was stalled because the Program Manager never responded to the Update Request asking for the reason she clicked Reject. For this example, she was able to search her spam folder and find the request, but at the same time, she said its likely a New Hire may not be able to find that Update Request or may have inadvertently deleted the contents of their Spam folder.
Question:
Is there a way to resend either an Approval Request or an Update Request without having to reset the entire workflow (i.e., reset the status columns)? If it is possible to resend somehow in Smartsheet, does this prevent the first one sent from being opened or from a response?
I know you can view pending update requests in a row, but are you able to re-send it if the first one is lost? But how would I do this for lost approval requests?
