Here's a quick description of my set-up. We're collecting project progress updates via workflow automations. These forms get sent to various people and the main 'ask' is for them to fill in a free text entry called 'latest update' field. These entries then appear in the 'latest update' field on the main sheet.
This has been working really well…but now we have lots more users, lots more projects and often - multiple people updating on the same project. They enter their initials and date into the 'latest update' field so we can differentiate.
Unsurprisingly, we now have cells in sheets that are close to their character limit. Would like to get ahead of this before the automations fall over.
Q1) I think I need to go back to basics in my sheet set-up, and find a better way of capturing project progress per row but for multiple people. Is there a better way to do this? Is there a better way to monitor initials and date of update etc.? Most of our collaborators are using forms and published access to viewable sheets, so giving them sheet access/logins is not yet feasible (although hopefully very soon).
Q2) How can I safely store a record of update captures on the main sheet, without reaching the cell limit? Is there a way to automate sending updates between date ranges to a different sheet, or word document, retaining the latest update only for example?
