Managing Active Documents in Smartsheet

When it comes to editing a document that is stored in Smartsheet, I'm looking for the best way to manage active documents (e.g. word template that needs to be edited on a continual basis).  It is a huge pain to have to save it somewhere else, edit it, then delete the old doc in Smartsheet and upload the edited one.  Please help?

Hi Tyler,

You could link to Google Drive, OneDrive, Box, Dropbox, Evernote or put in a link directly to something else. Then you could just update the linked document/location.

For documents attached to Comments, Rows, Sheets, or Workspaces in Smartsheet, you can either Upload the file or Attach it. If you attach it, for example from Dropbox, then when the file is edited from Dropbox or from Smartsheet, the file on Dropbox is updated. 

There is no deletion of the old doc required.

In addition, if you Upload the file with the same name, Smartsheet can keep older versions for you and you can retrieve the latest or earlier version as needed. Again, no deletion is required.

It is only if you use the method of renaming files to create some sort of version control that both systems will not work well. I do not recommend renaming files for this purpose in general and for use in Smartsheet in particular.
