System Admin: Support New Demand and Run Reconciliations

Hello Community,

I am the new system Admin for Smartsheet. We have a big organization with multiple users accross different departments.
Can you please share what can be some best admin practices, templates/forms to support:

1. Managing New Demand for new Smartsheet licenses comming from multiple Departments
2. Run Reconciliations every quarter with data users from multiple Departments

My first thought was to first identify 1 Single Point of Contact (SPOC) for each Department. Then create 2 Forms, one for Managing New Demands for additional Smartsheet licenses. The other Form will serve to collect data to support Running Reconciliations.

Now I really would like to hear what are the Headers per column and datapoints that you would typically use for each of these 2 Forms.

    Hi @Genti ,

    I’d recommend taking a look at the following help articles: 

    In particular, take a look at the FAQs section in both articles, especially “My plan has already transitioned to the User Subscription Model. I have a lot of users to manage every true-up period and don't want to do it in the Admin Center. Is there another way?” in the first article I’ve linked.

    On the User Subscription model, there is a reconciliation period every quarter for annual plans, where System Admins will be able to see and update all license requests. 

    One idea would be to make a user from each department a System Admin so that they can also access the True Up, as they’d be able to determine what user type users in their department should be.
