If you've spent any amount of time in Smartsheet over the past year, you've likely heard about (and maybe even used) table view. Since its initial release, table view has rapidly evolved to become the better way to work in Smartsheet. It supports much larger sheets, autosaves so you can collaborate in real time, and weaves AI directly into your workflows; all while keeping the power and flexibility you already rely on in grid view. Table view is the foundation for the new, modern grid experience and will (eventually) fully replace grid view.
With that in mind, we want to give you a refreshed introduction: what is it, why we built it, what's better, what's new, what's moved, and where it's headed.
One thing up front: Switching views never changes your underlying sheet data. Views only change how a sheet is displayed. All of your data, formulas, and automations will still be there as you switch, and stay exactly the same.
Why table view? (instead of just making grid view better?)
If you've hit a wall with grid view: a sheet that slows to a crawl, a row limit you had to engineer around, work you lost because you forgot to hit save, or missing features you’ve always wanted… you already know the problem. Grid view was built in the early 2000s, and while it's evolved to serve countless customers well over the years, its underlying architecture has finally reached its limits. As sheets have grown larger and workflows more complex, grid view has struggled to keep up. Every fix has meant working around old constraints instead of building something better.
This is even more important in the age of AI-enabled work management. You need sheets that integrate powerful AI features by having the foundation to support scale and performance that agentic workflows demand.
Table view is a ground-up rebuild designed to fix exactly what's been holding you back:
- Performance: If you're running sheets with tens of thousands of rows wired to cross-sheet formulas, automations, and dashboards, you know how much grid view can slow down. Table view loads in half the time and scrolls twice as smoothly on any sheet, especially your biggest ones.
- Scalability: No more splitting sheets or building workaround formulas because you hit a ceiling. Grid capped out around 20,000 rows and 500K cells for many teams. Opt in: 1 million cells with up to 100,000 rows or 400 columns, with plans to expand much further in 2027. Your work shouldn't be limited by how much data you need to manage.
- User Experience: No more manually saving and hoping you didn't lose anything. Table view is modern, clean, and intuitive, with autosave and real-time collaboration built in from the start.
- Intelligence: Summarize and analyze data with Smart Columns, write formulas in natural language, and get real-time answers about your sheet with Smart Assist. Less time building and configuring, more time getting the actual job done. As AI continues to evolve, table view is built to inherit these upgrades automatically.
- New Capabilities: Table view is the foundation for the capabilities grid view simply couldn't support. This new architecture means Smartsheet can finally start delivering the long-requested features you've wanted.
Coming from grid view?
1. Same tools, but better in table view
These are tools you already know from grid view, they just work better here. Your data doesn't change; the experience does.
- Personal sort, filter, & hierarchy: Sort and filter your own view without changing what teammates see, and apply multiple sorts at once.
- Better find: Instead of tabbing through the whole sheet, by default table view trims the view to show only the rows that match your search.
- Unlimited bulk column deletion: No more five-at-a-time cap and you can paste up to 1,000 rows at once.
- Column linking instead of INDEX/MATCH: Connect data across sheets with a point-and-click UI, without spending hours wrestling with complex =INDEX(MATCH()) formulas.
- Intuitive predecessor editing: Skip the complex dependency syntax. Search predecessor tasks by name, get suggestions, and see dependencies in context.
2. New tools, only available in table view
These are capabilities grid view could never support.
Collaborate globally and work confidently at scale
- Autosave & real-time collaboration: Every change appears for all collaborators the moment it happens: autosaved, with no save conflicts, no refresh, and no lost work.
- Large sheet support: Performance and capacity built for enterprise-size sheets, with room to keep growing.
- Sheet capacity details: See current cell, row, column, and link counts, so you always know where a sheet stands against its limits.
- Deep links to rows, cells, and columns: Send teammates (and AI agents) exactly where the conversation is happening.
- Formula changes in cell history: Now you can see what changes were made to a formula and easily recall the last working version.
- Full accessibility + multilingual input: So everyone on your team can work smoothly.
Connect and structure your data
- Colored dropdowns: Assign colors to dropdown values directly in column properties, so you can scan a sheet by color with no conditional formatting rules required.
- Linked column dropdowns: Filter a dropdown's source list based on another column's value, so users only see the options relevant to their row.
- Inline row detail panel: Expand any row in a side panel to scan and edit its details (⌘/Ctrl + E).
- Toggle-able vertical grid lines: Turn column dividers on or off as a personal preference. Need a row-based project view? Turn them off. Want a more spreadsheet-style view? Turn them on.
Work smarter with AI
- Smart Assist: Ask questions about your sheet in plain language and create columns, automations, and more.
- Smart Columns: Summarize text, detect sentiment, and translate content row by row, without leaving the sheet.
- AI formulas: Build and edit formulas in-cell simply by describing what you want the formula to do in natural language. No more wrestling with missing commas or broken syntax.
3. Can't find something?
A few features have new names, new homes, or are on the way.
Three zones become two: Grid spreads across a left rail, the top, and a right rail. Table view uses just the left and top, so you can work faster.

- The new “file” menu: Now a 3-dot menu button to the right of your sheet name.
- Formatting now lives in a collapsible drawer. Open it when you need it, tuck it away when you don't, so your sheet gets more room to breathe.
- A few grid habits go automatic: There's no manual Save (table view autosaves every change), no manual refresh (collaborators' edits appear in real time), and sheet-wide sort that reordered the sheet for everyone is now personal to your view.
- The toolbar adapts to your screen: It expands and collapses automatically, showing icons with labels when there's room and icons only on smaller screens, so you always keep the most space for your work.
- Renames: Resource Management → Workloads, Save as new → Duplicate, Publish → Open Link Sharing, Work Insights → Analyze Data.
