I'm scoping an integration and would love to hear how others have handled attachments.
The use case
When a record in Smartsheet reaches a set status (e.g. approved), we need to send the row data plus all of its attachments to an external system. The attachments can be any file type (PDFs, images, Word and Excel files, drawings and so on), vary in size, and there can be several per row. Many are uploaded by external users through forms. It needs to be automatic, secure and reliable, with no manual downloading and re-uploading.
What I've established so far
- Bridge can pass file URLs but can't handle files themselves (per the Bridge FAQ, and the "Enable File Handling in Bridge" idea is still open).
- The API's attachment download links are temporary (around two minutes, per a staff answer on here), so they need to be used straight away or requested again.
- Webhook callbacks only say what changed, so the receiving system still needs the API to fetch the data.
- Data Shuttle only moves cell data, not attachments.
Questions
- Has anyone found a streamlined, production-ready method for sending or syncing attachments off-platform? What did you use, and how has it held up?
- Has anyone passed the temporary URL directly to another system successfully? How did you handle retries?
- How do you handle mixed file types and sizes? Do you validate or filter before sending, or leave it to the receiving system?
- Has anyone set up IP allowlisting for Bridge's outbound Call API requests?
- On the AI side: with the MCP Server now connecting to Claude, Copilot, ChatGPT and Gemini, Smart Flows rolling out, and AI agents planned that can run on schedules or triggers, is file handling part of any of this? From what I can see, the MCP attachment tool returns metadata and the same expiring link rather than file contents.
If anyone from the Smartsheet team can share whether file handling is on the roadmap for Bridge or the upcoming agents, that would be really helpful.
