Show only own tasks in calendar

Hi,

I am new to Smartsheet. I already searched for this topic, but wasn't successful.

By standard, the calendar in Smartsheet shows all tasks of everybody. I imported the calender into my Google calendar (via ics and directly). There also all tasks of everybody are shown.

Is there a way to show only your own tasks (you are responsible for) in the (Google) calendar?

Many thanks.

Best regards

Christian

  • This can be accomplished by first filtering the sheet to only show the tasks you are assigned to.  Then when you click the calendar icon, it will only display those particular tasks.  Hope that helps!

Matt, filtering would work for the Smartsheet calendar but I think Chris wants to show only tasks he is assigned to, in his Google calendar.

Chris, currently there is only a way to sync your entire calendar to Google. There are a couple workarounds but they would require a little more work on your end to set up and maintain. The first workaround would be to use cell linking to create a sheet showing only tasks you are assigned to, then publish that sheet. We published a blog post which outlines a similar process and can give you an idea of how to set this up:

Another option is to build a report that shows only your tasks, export the report to Excel, then import into Smartsheet which would create a new sheet. Once the file is imported, publish the sheet to Google Calendar.

  • Ah...sorry about that.  Reading comprehension 101.  lol

  • I'd be interested in this as well. Why can't reports be exported/published as webcal? That would solve this (and quite a few other issues)?

For instance, at the moment, publishing a webcal will give me mutlitple all-day events for big tasks, with no possibility of 'filtering' what goes into the calendar, such as only milestones.

Michael, I agree publishing reports to iCal could solve issues for some users and I will submit your suggestion to our Product team!

Hi. I'm quite interested in publishing into gCal just the report calendars, not the full sheet calendars with events attached to plenty of people.

Is publishing calendar from report a feature that is in Smartsheet roadmap? If yes, would dit be expected to be released soon?

    Thanks!

Carlos, this has not been added to our roadmap - but I will add your vote for it!

Here is a link to our product roadmap with a list of what we are working on: https://www.smartsheet.com/product-roadmap

  • Hi,

I just checked Smartsheet roadmap and there is no mention to improvementos to "show only own tasks in calendar", including the possible workaround to publish into gCal just the report calendars.

Is it possible Smartsheet provide an update on this issue, if it will be considered soon in the roadmap, or even if it won't be implemented?

    Thanks,

    Carlos

  • Hi Carlos-- This is not currently on our short-term roadmap, so I can't provide a timeline at this point. It's on our list, so there is the possibility that it will be implemented at a future date, but it is not something we are working on at this time.

  • Hi,

Since reports improvements were anounced by Smartsheet recently, I am wondering if there were improvementos to "show only own tasks in calendar", including to publish into gCal just the report calendars .

    Any news?

    Thanks,

    Carlos

  • Hello,

I have the same request as Carlos (and many others).

The possibility to see only my tasks in my calendar is absolutely crucial for effective use of the calendar integration feature.

Is it going to be implemented soon? The workaround with export to excel followed by import and sharing is really awkward and I don't see a technical reason, why this feature would be hard to implement.

From an application focused on project management, I would expect to deal with such a request faster, than in timeframe of several years.

Thank you and keep up the good work

Where is this on the roadmap? People have been requesting it for over 3 years. It would require programming a filter mechanism into the calendar sync so it recognizes data in a specific column (e.g. a contact's name in the Assigned To column). I'm sure this product enhancement has been requested dozens of times. When can we expect Smartsheet to be able to function in the basic way?

  • How many years for this simple feature?

  • Any updates to filter exporting calendar data?
