We use a Smartsheet and form to manage requests for free tickets to our shows for internal staff. They fill in their name, email, position in the company, show they want to see, first and second choice dates, and number of tickets requested. When the application is approved, they are notified, and the information is sent to our ticketing team who manage that side through another program (both through automation).

We would like to also use this sheet to manage responses from invited attendees to particular performances (opening nights). We would like them to fill in their name, email, and number of tickets only, and would ideally like Smartsheet to fill in the rest (the show and the date). We also don't want them to get the "your application has been approved" automatic message. Is this possible? Even if we have to have individual forms for each show.

1. about your form, should the users see the rest of information (the show and the date)? If so, there is no solution yet, per my knowledge. I am also find a solution for that.

if the user does not need to see the rest of the information, you can create a sheet with all the information, which you would create a correlation between ticket number with show and date. In the sheet that the form is attached to, you can create VLOOKUP formula which will look to the ticket number, find in the other sheet, and brin the show name and date to the sheet. HOWEVER, this only works after saving the sheet; this means after the form is submitted.

2. about the your application has been approved message, you can go to the settings of the form and change the behavior of the form after submitting.
