Confirming - Unless you have a License, you are unable to upload a proof in a sheet correct?

If I am understanding correctly, you are unable to have admins assigned to a sheet upload and share proofs with other stakeholders for review, comments, and approvals correct? If this is the case, has anyone figured out a work-around for this?

    Hello @Shayna L there are some new changes being introduced into Smartsheet. Here is the latest directive we have received from Smartsheet -

    Advance Notice: New enhanced functionality in Smartsheet for Licensed Users
    SmartSheet has changed their product and moved to a role based philosophy which does not include "free collaborator" licenses.
    We’re rolling out a new Smartsheet model that is being introduced to provide licensed users with enhanced features. It’s being rolled out soon, and here are some updates for you
    User types are simplified to Paid Members and Viewers
    Simplified user types: Roles are being consolidated into two categories, Paid members (formerly known as licensed users) and Viewers.
    Better benefits for paid memberships: Premium apps are now included with paid memberships! :tada:
    Changes for free collaborators: Viewers will no longer be able to edit sheets, but can still respond to automated requests.

  • Interesting. Do you know when this will take effect and where I can read up on this? This change will actually have a significant impact on my company. While we do have 10 "licensed" users, we have about 50 other production staff that access and update sheets. If all these contributors are changed to "viewer" status, that will be an issue. Do we know how the pricing would change? Currently my firm is on the Enterprise edition.

    To answer your initial question, while a shared collaborator does need a license to upload a Proof, anyone with Commenter+ permission can upload an attachment to a sheet (regardless of license). Then you can convert this attachment to be a proof.

    Anyone with a valid email address can be invited to review a proof without needing to share them to the sheet. (Here's more information: https://help.smartsheet.com/articles/2482509-collaborate-on-proof )
