Dashboard permissions restricted

I created a dashboard so 'Community Ambassadors' can see who else is registered for the program. It appears that some people are having trouble accessing - we usually solve this by telling them to migrate to our plan but some people are using smartsheet for their day job so cannot migrate. How do we allow people on different smartsheet plans/accounts to view this dashboard?

Example below:

"One of our ambassadors just flagged this to us: Some Amazon teams are already using Smartsheet but are part of another org.

It’s not feasible for them to get migrated to our plan (like the FAQ suggests) because that would mean they’d loose access to their own Team’s sheets.

How can we make the Directory dashboard accessible to her – and other Amazonians who are on a different plan?

Do you think this Dashboard could get an exception to be shared outside of our org?"

    Hi @pageella,

Since domains are different to accounts, meaning that users on the same domain may be part of different Smartsheet accounts, the higher access control permission for publishing the dashboard (“Available to anyone with the link”) would need to be enabled.

You can find out who your main system admin is by clicking your Account profile icon > Plan Info, where you’ll see their details listed next to “Main Contact” and “Contact Email” - you can discuss with them whether they could change the account’s dashboard publishing settings to allow users to publish dashboards to anyone with the link.

Alternatively, you could directly share the dashboard to specific users by clicking share and entering their email addresses - you may want to create a contact group (or have a Group Admin or System Admin create a group) so that you can share the dashboard to a certain group of users at once - take a look here: Admin Center: Manage Smartsheet contact groups.

    Hope that helps!
