Does proofing trigger a provisional member?

    Hi @Alejandra C,

This will depend on how users are accessing proofs.

If users are accessing proofing within a sheet (if they’re shared to the sheet), they will need the following permissions/user types to take actions:

    • To be able to view the proof, but not comment on it, a user will need to:
      • Be at least a Viewer in the User Subscription Model (USM)
      • Have Viewer permission on the sheet
    • To be able to comment and annotate on the proof, a user will need to:
      • Be either a Guest or Member on USM depending on if they're an internal user, part of your company or not (take a look here for more information)
      • Have Commenter or above permission on the sheet

That is, if users are on the same plan, are shared to the sheet, and want to comment/annotate on the proof, they’ll be made a provisional member.

If users are accessing a proof externally, and don’t have access to the sheet, there’s no USM involvement - users won’t be made provisional members. They are external users with no access to the Smartsheet asset.

For more information about sharing proofs for review externally, take a look here.

    Hope that helps!

    Georgie
