Attachment Backup/Download - Smartsheet Line Reference

edited 03/04/25 in Smartsheet Basics

I am familiar with multiple ways to back up a sheet & comments (download, data shuttle, backup) and I am familiar with multiple ways to back up attachments (download, backup). All good on both fronts.

What I'm looking for is some sort of log/txt/csv that references the attachment name AND which line the attachment was associated with in the Smartsheet (or no line, if it was attached to the sheet). Alternatively, a column in the Smartsheet download that contains the attachment name(s) would work beautifully, if not even better.

While it's great to have both the sheet/comments as well as the attachments, if there's no reference marker as to which attachment belonged to which line… it's a jumble of attachments that would need to be sifted through if you're looking for 1 particular item without any frame of reference.

I understand a log/txt/csv reference would be skewed a bit when exporting to xlsx where the Smartsheet lines are off by one. That would be easy to factor in as long as the original line number was referenced.

Thank you for everyone's consideration & input. I appreciate it!

    hi @lbillows,

what about creating a workflow that copies the row when new attachment is added?

so you can create a sheet called Attachments backup and set workflows in all the sheets that whenever Attachment is Added or change to copy this row to the Attachments Backup sheet.

once you have all the attachments in one sheet you can always download them by bulk.

    Hope this helps.

  • Morning!

    Thank you for the suggestion!

It's entirely possible I just need more coffee but I'm not sure I follow how that will produce a way for the attachment association to be linked to a particular line. Wouldn't that bulk download give me the same result - an xlsx of the Smartsheet & a folder w/ all of the attachments but no mapping on which attachment goes to which line?

I have no problem downloading the attachments with the Smartsheet - the individual download option does the trick if I'm downloading Smartsheets one-by-one OR the formal 'backup' request does the same trick (beautifully!) in bulk when I select a folder & back up all the Smartsheets & their respective attachments.

    Thanks again for posting!
