Publish user cannot select a pre-populated contact

As the owner of the sheets, I have pre-populated a list of project members contacts list. Under my project's assigned to column, I am able to select the contacts, view my full list and pick a colleague. When I publish my sheet and grant non-license Smartsheet user the rights to edit the sheet, they report they are not able to perform this function. Please advise if there is a solution.

    hi @Michelle Yong,

do you mean that when you have a Contact List column with defined Contacts if you publish it and share with others they cannot see the dropdown list?

I just made a test for this Contact List colum / I published it and opened in Incognito Mode all my defined users are there.

@kowal Thanks for helping me out.

All my publish users (they do not hold the Smartsheet licenses) are not able to see a dropdown list of contacts which I've pre-created? They cannot type in names or add users either.

On reflection, I might not have set the column properties correctly. My column name is assigned to, column type: contact list... etc. Have I done it correctly? I do not understand why it only shows one contact JA, whereas the rest of the names are not on the list. What are your thoughts?

    hi @Michelle Yong,

maybe there you also defined only JA

  • @kowal I clicked on the magnifying glass icon. I see a dropdown of all the names in the contact list which I've created earlier. If I click on an individual's name, the person gets added on after JA. Is there an earlier way where I could add the entire contact list rather than doing this individually?

so for me I did not have this issue when I created this defined list of users in the contact list when I shared it publicly the list was still there.
