As a design department manager of 4-5 mechanical & project engineers helping with the team and helping manage projects and budgets I am feeling a little stumped on the best way to use these two systems. As I would prefer to only use one, and I feel our team would agree.

As we currently are using Resource Management to enter our customers projects, and to keep track of each of our team members time spent on each project, but then we don't currently use Resource Management for understanding how much work each project will take each team member. As we don't currently use the system to assign tasks and time for each project. We just assign a budget to the project and our team records time they are spending on each project. I just started to use Smartsheet to create project plans for each project as this software had more templates and more flexibility/capabilities for project plans. With this said the Smartsheet project plans currently being used more so for high level tracking of milestones and sub tasks, and assigning team member high level vs. tracking or assigning hours to each task and project.

  • Resource Utilization

  • Project Budget vs. Actual

  • Time Tracking Summary

  • Forecasted Capacity vs. Demand

  • At-Risk Tasks Report

Integrating project phases between Smartsheet and Resource Management improves efficiency and provides clear insights into time, budget, and utilization at the phase level across your projects.

With phases in Smartsheet, you can update task information such as allocation, start dates, assignee, and more. Use phases in Resource Management to track time, set the phase budget, report on the phase, and add bill rates to a phase.
