Docusign not generating "Employee Role cannot have it's name..."

Good morning,

I'm struggling with the "generate" portion of SS/Docusign in mappings. My document is built, created and mapped thru builder. The Docusign form uploads well (into SS) and my assignments seem to be working great until I ask to "generate and send with Docusign". I keep getting the following failed message: "The 'Employee' Role cannot have it's name and email set by Smartsheet, because it already has a name and email set in Docusign.

The created forms in builder and Docusign are for onboarding new employees. Names will continuously change. I assigned the column name (Employee Name) and column email (Employee email) in Docusign as recipients. It's my understanding, we must assign/delegate a recipient in Docusign to move forward with the form. I did this, so the SS document would autofill from the row, and then generate and send form (based on email from row) for each new employee.

I'm stuck. I cannot figure out where I've gone wrong. Has anyone else had this issue and if so, how did you fix it? Any help is appreciated.

This error usually happens because DocuSign roles are pre-populated with name and email, and Smartsheet cannot overwrite them when generating the envelope. Here’s what’s going on and how to fix it:

• In DocuSign, each recipient role (e.g., “Employee”) can have a name and email set.

• If you already assigned a name and email in DocuSign for the “Employee” role, Smartsheet cannot replace those values with the ones from your sheet columns.

• Smartsheet expects the role to be blank so it can populate it dynamically from the mapped columns.

• Check DocuSign Template
  • Open your DocuSign template.
  • For the “Employee” role, remove the pre-filled name and email.
  • Leave the role as a placeholder only (no assigned person).

• Verify Smartsheet Mapping
  • In Smartsheet Document Builder:
    • Map the “Employee Name” column to the DocuSign role name.
    • Map the “Employee Email” column to the DocuSign role email.
  • Ensure these mappings are correct and saved.

• Generate Again
  • After removing the hard-coded name/email in DocuSign, Smartsheet should now be able to inject the values from your sheet row.
