Automatic email replies going to personal inbox

Question

Good morning, Smartsheet community! I work at a community college and recently began utilizing the Smartsheet automations to send email reminders to our specialty program students. In the email body, we provide an email they should contact with any questions they have. However, I have had some students reply to the automated email, and it shows up in my personal inbox.

Is there a way to connect a general staff email to these replies so they do not come directly to my personal inbox?

Unless the general staff email account has its own Smartsheet license, there is not a way to "connect" replies to it.

If it's not practical to have replies sent to staff who triggered the workflow, then one solution is to create an email rule (if you're using Outlook) or a filter (if you're using Gmail/Google Apps). Configure the rule/filter to forward replies to the specialty program email address.

Where you provide the email address for students to contact, consider including language to the effect of, "This notification was sent from an unmonitored account. Please do not reply."

The long term solution is to have a shared mailbox or account to which you have full control. You can use 3rd party tools like Power Automate to send emails on behalf of the specialty program email account.

Have you tried setting it up to send from "Triggering User"? Otherwise, you would need to log in to Smartsheet using that email address and recreate the automation.

Instead of an email use forms for any questions they have if any.
