We are using Smartsheet Resource Management for capacity planning, operational follow‑up, and monthly financial reporting, and we have a recurring challenge related to how Incurred Hours are handled in reports.
We understand that incurred hours are date‑driven (past vs. future), and that this behavior is intentional. However, this creates a practical limitation when downloading reports within the same month, especially close to month‑end:
- Hours that are entered, submitted, and approved for future dates within the same month
- Continue to appear as “Future scheduled”
- Do not appear as “Incurred hours”, even though the month is operationally considered in progress and close to closure
As a result, it becomes impossible to fully close or review the month within the same month using Resource Management reports alone. This forces teams to wait until the following month or rely on manual workarounds, which reduces reporting accuracy and efficiency—particularly for finance, controlling, and audit‑related processes.
From what we can see, there is currently no configuration or reporting option that allows:
- Treating future dates within the same calendar month as incurred
- Or providing a more flexible reporting view that supports month‑end closure and financial previews
Some additional flexibility here—such as the ability to distinguish confirmed future time within the same month or include it in a month‑level “incurred” or “expected actuals” view—would significantly improve the accuracy and usability of monthly reporting.
Could you please confirm:
- Whether this behavior is fully by design
- Whether there is currently no configuration or reporting option to include future dates within the same month as incurred hours (or an equivalent reporting alternative)
