Webform Dropdown Multi Select Fields Not Appearing

Hi all,

I've created a sheet and webform for tracking locations throughout the week. The sheet has the following drop down columns:

• Location selector - 7 columns named from Mon to Sun, multi select dropdown containing 272 locations, restricted to list values only
• Reason selector - 7 columns named <weekday> Reason (e.g. Mon Reason), single select dropdown containing 25 options, unrestricted

Upon creating the webform, while all visit reason fields are populating, only the Fri to Sun location selection fields appear on the front end. Nothing is hidden, no logic has been applied and all required fields have been added to the webform on the backend. All Mon to Sun columns have been formatted the same, so I'm unsure if this is a limitation due to each of the location selector columns having 272 options?

Here is the breakdown of why this is happening and how to fix it.

The Cause: Smartsheet’s Form Option Limit

While a Smartsheet sheet can handle thousands of drop-down values, a Smartsheet webform has a rendering threshold.

When you have 272 locations in a single multi-select column, and you repeat that column 7 times (Monday through Sunday), your form is attempting to load 1,904 individual dropdown choices ($272 \times 7$) just for the locations, on top of your reason codes.

When a form hits its processing limit during generation, it will quietly stop rendering subsequent fields to prevent the web page from crashing. This explains why Monday through Thursday disappear, while Friday through Sunday (or vice versa, depending on your form's ordering and caching) manage to cut off.

How to Fix It

To make your form functional and stable, you need to reduce the total number of options the form has to load at one time. Here are the three best strategies to achieve this:

Strategy 1: Use Form Logic to Group by Weekday (Highly Recommended)

Instead of forcing the form to load all 7 days simultaneously, hide the weekday columns behind a simple conditional rule.

1. Create a new Single-Select Dropdown column on your sheet called "Day of the Week" (with options: Monday, Tuesday, Wednesday, etc.).
2. Put this "Day of the Week" field at the very top of your form.
3. Use Form Logic (Conditional Rules) so that the form only displays the specific day's location and reason fields after the user selects that day.

Why this works: Smartsheet forms only load the active/visible field options into the browser memory. By hiding 6 out of the 7 days initially, you reduce the active dropdown choices from 1,904 down to just 272 at any given moment.

Strategy 2: Consolidate to a Single Column Pair (Streamlined Design)

If your users are submitting one location update at a time, you don't actually need 14 separate columns (7 days $\times$ 2 fields).

Instead, change your sheet architecture to just 3 core columns:

• Day of the Week (Single-Select)
• Location (Multi-Select Dropdown with your 272 choices)
• Reason (Single-Select)

Why this works: The user selects the day, selects the location(s), and hits submit. If they need to log multiple days, they simply submit the form again or click "Submit another response." This reduces your form's total dropdown options from nearly 2,000 down to exactly 297, completely eliminating the rendering issue.

Strategy 3: Trim the Dropdown List

If you absolutely must keep the current 14-column layout, you will need to aggressively reduce the number of choices in the Location Selector columns. Keeping the dropdown list under 100 options per column is generally safe for multi-column forms. If there are inactive or rarely visited locations, remove them from the column properties and allow users to type them manually by switching the column property from "Restrict to list values only" to unrestricted.
