Hello!

I’m looking for a tool to build a template for creating standardized Process Definition Documents which we want to use for RPA projects.

I read this article regarding Process Documentation https://www.smartsheet.com/free-process-document-templates but I am not so sure HOW Smartsheet can DO PDD.

Any suggestions on where to start?

    Lucidchart is excellent, and I'm also trialing Realtimeboard.

    So, Smartsheet doesn't have this feature as I would need to use a different service (Lucidchart or Realtimeboard)?

    It could probably be set up in Smartsheet and maybe together with Google Docs. 

    It depends what you need. Do you have any example you can share?

    My suggestion is that Smartsheet can help you with this work is two key ways.... 

    1. Smartsheet will be a great way to progress the work in defining and progressing your documents by leveraging the "power of team collaboration",  providing you an audit trail and version control. 

    2. Secondly, it can be used as a document library which will take any of your users to the right document and the latest version of it within a couple of clicks which will save everyone time and effort. 

    The actual documents them selves are likely to be in Word, Excel, or Google sheets or pdfs... whatever, even videos, can all be linked to or uploaded to Smartsheet and version controlled.

    So IMHO Smartsheet is the right tool for this as it is for many other work management activities and works really well with all the other tools you use already, so no you don't need another APP! 

    I can see you have posted lots of questions recently, so hopefully the community is giving you what you need? Getting the best out of Smartsheet when you haven't used it before is quite a learning curve and I admire you for doing that. 

    All I would say from experience, is that hiring an experienced Smartsheet consultant with hundreds of successful implementations would save you time and effort but it costs money. However the real value of Smartsheet is when users tell us "we have save them a day a week" or 20 % and they enjoy their jobs again. So cost is relative to the benefits. 

    Yes I manage a team of Smartsheet Gurus, so it is obvious where I am coming from, but equally, we love to see the benefits that Smartsheet has brought to so many of our clients over 8 years now.

    The formatting of smartsheet is not optimal for the creation of process documentation.At best it can be used as an online library for your documentation. You would be much better served by a different solution. 

     

    If you are set on using smartsheet as your solution, I personally would use a dashboard with links to sheets which have a single process per row, and an attached excel or word file showing the process.

    @Nicole Hodges - Hi Nicole - I was wondering if you have tried to implement the use of Smartsheet for document management/document library. We currently use Sharepoint for this but I'd love to use Smartsheet if it would be possible - I'd love to hear what you have tried and any lessons learned.
