Free Users

Hello, We have a new business account (I am administrator) and are setting up plans to run a number of joint projects with other institutions. What is the best way to set up free users so that they can be sent automated reminder emails for the tasks they are allocated? I am a little unsure of the difference between contacts and users and would prefer that the external users did not not need to have to login to Smartsheet, we have regular progress video calls where I just share plans on my screen, the intention it use Publish to give visibility.
