Is there a limit on the number of free users that can be invited to a sheet?

We are en exsting enterprise customer with 100+ paid licenses. We have a short term need to share a read only smartsheet internally with a large number of users (2500+) that do not have a paid license. Several questions:

  1. Are there limits on the number of free users a sheet can be shared with?
  2. Are the limits on the number of users that can be invited at one time?
  3. Is there a way to do bulk invites if the answer to #2 support large number of invites?

  • Hi Timothy,

    If you are looking to share this item as read only to a large number of people who may not have Smartsheet accounts, I would actually suggest looking into Publishing your sheet instead, and providing the published link (see here).

    There is a limit to the number of automated interactions that can happen on a sheet per minute. Since you are on an Enterprise Account, this limits the number of times that Published URL can be clicked in one minute to 300 clicks. (See here). However if you advise your users that should the link not work immediately to try it again in a minute or two, Publishing should be a better solution for you than trying to share the sheet.

    (That said, if you did want to share the sheet instead, you could put all the email addresses into multiple Smartsheet Groups and then share the sheet with those Groups... see here).

    With a published link, this is just a URL, so you could send this in an email to everyone all at once (however keep in mind the 300-click limit above).
