Setting up a Cap or Limit for PTO (Paid Time Off) on a Form

Is there a way to add a cap to a PTO form? For example, if an employee is entitled to 4 Personal Days, can I set up the form where once they have reached their limit (4) they can no longer submit (a message saying their limit has been reached would be helpful as well).

In the past, I have set up an automation, where once they go past their limit, they receive an email notification. The department does not want this - too many emails.

    You can let them submit and keep a "total allowed" and "total used" column. if they submit and the "total allowed" column is 0, it triggers a notification email

    Currently, our Forms don't support a cross checking feature with Sheet data.

    With this, you may wish to raise an Enhancement Request using the Hamburger / 3 Horizontal Line menu in the top left of this page.

  • Thank you. We did have a notification email go out when their limit was reached and also when it was exceeded. Unfortunately, they do not like to receive many emails so we had to disable the automation.


    We were looking for something within the form which would not accept a response once that limit was reached.
