Problem
The Intake sheet in Smartsheet relies on a Salesforce connector to populate and update information. If the Salesforce-to-Smartsheet workflow is disabled, encounters an error, or stops processing records, there is currently no notification or visible indicator that the data flow is no longer working.
As a result, the Intake sheet may appear operational while the information is becoming stale or incomplete. The issue is typically discovered only after someone notices that expected updates are missing, which can delay follow-up and create downstream reporting or project-management risks.
Requested enhancement
Provide health monitoring and proactive notifications for Salesforce-to-Smartsheet connector workflows. The enhancement should provide:
- A clearly visible connection status, such as Healthy, Warning, Failed, or Disabled.
- The date and time of the last successful sync and the last attempted sync.
- Automatic detection when a workflow is disabled, fails, loses authentication, or has not completed a successful sync within a configurable period.
- Notifications to designated users when the connection stops flowing data, including the affected sheet or workflow, the time the issue was detected, the likely cause, and recommended next steps.
- A visible alert in Smartsheet or the connector administration area so users do not have to rely only on email notifications.
- A recovery notification or status update when synchronization resumes successfully.
- An activity or alert history that allows administrators to review outages, failures, and recovery times.
Expected outcome
Users should be able to quickly determine whether the Salesforce-to-Smartsheet connection is actively flowing data and be notified promptly when it is not. This would allow the issue to be investigated and corrected before stale or incomplete Intake data affects project tracking, reporting, or operational decisions.
Acceptance criteria
- A disabled or failed Salesforce-to-Smartsheet workflow is clearly identified as unhealthy.
- The system identifies when no successful sync has occurred within a configurable threshold.
- Designated users receive an actionable notification when synchronization stops or remains unhealthy.
- The notification includes enough information to identify the impacted workflow and begin troubleshooting.
- The connection status returns to healthy after a successful sync resumes.
- Users can distinguish an active, healthy connection from a connection that is configured but no longer processing updates.
